As a Governance & Board Coordinator, you will play a critical role in supporting Optus' corporate governance framework by providing Board coordination and executive support to the EGM, Governance & Secretariat. Working within the Legal, Compliance & Privacy (LCP) team, you will collaborate with senior executives, Board of Directors, external stakeholders, and key business functions to ensure the effective administration of governance activities and Board operations. This role is ideal for a highly organised professional with exceptional attention to detail, strong stakeholder management skills, and experience supporting senior executives within a large corporate environment.

The Day to Day

  • Provide comprehensive executive and governance support to the EGM, Governance & Secretariat, including complex diary management, preparation of key deliverables, and coordination of Board and Committee activities.
  • Plan and manage Board and Committee meetings end-to-end, including agendas, meeting papers, logistics, board portal administration, minutes preparation, and tracking of actions and resolutions.
  • Build and maintain strong relationships with senior executives, Board Directors, shareholder representatives, external advisors, auditors, regulators, and other key internal and external stakeholders.
  • Coordinate travel, events, budgets, expenses, onboarding/offboarding activities, technology requirements, and administrative operations for the EGM, Governance & Secretariat and the Board while ensuring confidentiality and professionalism at all times.
  • Drive governance excellence through managing company secretarial systems, maintaining corporate records and registers, supporting process improvements, and responding proactively to high-priority and time-sensitive matters.

What You Bring

  • Demonstrated experience supporting senior executives within a large corporate environment, with the ability to manage complex schedules, competing priorities, and confidential information.
  • Strong governance and company secretarial capability, including an understanding (with actual experience viewed favourably but not mandatory) of Board and Committee processes, corporate governance frameworks, and stakeholder management.
  • Exceptional written and verbal communication skills, with the ability to engage effectively with executives, directors, shareholders, and external stakeholders.
  • Highly organised with meticulous attention to detail, strong administrative capabilities, and the ability to coordinate multiple activities simultaneously.
  • Proactive, resilient, and self-motivated, with a strong sense of ownership and the ability to work independently while building trusted relationships across the business.
