Job Description
Basic Responsibilities:
- Plan and execute Global Studies trips in collaboration with DBU professors and sponsors under the direction of the Assistant Vice President for International Affairs and Global Studies.
- Act as a liaison between domestic and international companies and organizations for trip planning purposes.
- Assist in recruiting students to attend trips through on-campus events, social media posts, email campaigns, personalized outreach, etc.
- Manage trip budgets, coordinate and execute trip-related transactions, and provide financial analysis during and upon the conclusion of each trip.
Qualifications:
- Strong cross-cultural skills and the ability to effectively communicate verbally and through the written word are required.
- Demonstrates strong attention to detail while effectively coordinating overlapping trip schedules.
Specific Duties:
Primary Responsibilities:
- Trip Planning/Leading
- Support itinerary planning, including researching and booking air and ground transportation, accommodations, and group entrances to attractions and restaurants.
- Meet with professors and sponsors to coordinate trip itineraries.
- Request needed trip financial resources, such as cash advances and travel credit cards.
- When assigned, go on domestic or international trips to manage all logistics, provide daily logistical direction, and act as Global Studies representative for policy adherence.
Financial
- Manage purchases in Self-Service Procurement, including monthly credit card requisitions, vendor payments (both check and wire transfers), reimbursements, and cash advances.
- Accurately code and provide documentation for credit card transactions in Visa Spend Clarity.
Recruiting
- Plan and execute Global Studies recruiting events (examples: Global Studies Night at the Coffeehouse, Global Studies day at the Caf, tabling events, etc.)
- Maintain consistent social media presence on DBU Global Studies sites.
- Prepare and send email campaigns to student population for recruiting purposes.
- Respond to requests for more information sent by students to Global Studies email account and provide details to students regarding upcoming trips.
- Attend and present at DBU sponsored recruiting (ex: Patriot Preview) and orientation (ex: New Patriot Orientation) events.
Misc.
- Update Global Studies website as needed through Cascade and/or collaboration with University Communications.
- Assist with tasks given by the Assistant Vice President for International Affairs and Global Studies.
Office Responsibilities:
- Maintain records and documentation related to trips, budgets, credit card transactions, and requisitions.
- Attend planning meetings with the Assistant Vice President for International Affairs and Global Studies and contribute to program development and operational strategy
- Monitor timelines and deadlines for upcoming trips.
- Ensure compliance with internal bookings, spending, and student travel policies.
WORK SCHEDULE:
This full-time position requires approximately 40hours per week, with flexibility needed for evenings, weekends, and travel.
WORK LOCATION:
This position will work on the main campus, located at 3000 Mountain Creek Parkway, Dallas, TX 75211
Qualifications
- Must be a Christian who is a member of a church that holds Jesus Christ to be their Lord and Savior, and who holds solely the Old Testament and the New Testament as sacred Scriptures.
- Bachelor’s degree.
