Global Mobility Senior Specialist

YOUR MISSION

The Global Mobility Specialist is responsible for managing end-to-end mobility cases across the Asia, Oceania & Africa (AOA) region, ensuring a smooth and compliant employee relocation and assignment experience. The role supports all mobility administration activities, stakeholder coordination, reporting, document management, and financial processes while partnering closely with HR, payroll, immigration vendors, employees, and business leaders.

Key Responsibilities

  1. Case Initiation & Coordination

Initiate and administer global mobility cases including Short-Term Assignments (STA), Long-Term Assignments (LTA), Permanent Transfers, and International Remote Work arrangements. Coordinate pre-assignment activities and collect required information from employees, HR Business Partners, managers, and vendors. Ensure mobility cases are accurately created and maintained within internal tracking systems. Act as the primary point of contact for employee mobility-related inquiries throughout the assignment lifecycle.

  1. AOA Mobility Case Management

Manage the end-to-end execution of mobility cases across Asia, Oceania, Africa, and the Middle East. Coordinate with immigration, tax, relocation, payroll, and destination service providers to ensure timely service delivery. Monitor assignment milestones, compliance requirements, and case status. Escalate risks, delays, or exceptions and support resolution with relevant stakeholders.

  1. Reporting & Dashboard Management

Maintain regional mobility trackers, databases, and case records. Produce monthly, quarterly, and ad hoc mobility reports for leadership and HR stakeholders. Develop and maintain dashboards covering assignment population, case status, costs, compliance metrics, and service performance. Analyze mobility data and provide insights to support workforce planning and operational decision-making.

  1. Document Management & Compliance

Maintain accurate and complete mobility documentation, including assignment letters, approvals, immigration records, and employee files. Ensure all records are stored in accordance with company policies, data privacy requirements, and audit standards. Support document preparation for internal and external audits. Monitor document expiration dates and compliance-related deadlines.

  1. Invoice Processing & Payment Administration

Review vendor invoices for accuracy and alignment with approved mobility services. Track mobility-related expenses and maintain payment records. Coordinate invoice approvals with budget owners and finance stakeholders. Follow up on payment status and support cost reporting and budget reconciliation activities.

  1. Stakeholder & Vendor Management

Build effective relationships with employees, managers, HR teams, Finance, Payroll, and external mobility providers. Ensure high-quality service delivery and a positive employee experience. Support mobility process improvements, standardization initiatives, and operational excellence projects.

YOUR PROFILE

  • Bachelor's degree in Human Resources, Business Administration, Finance, or related field.
  • 2-5 years of experience in Global Mobility, International HR Operations, Immigration, or HR Administration.
  • Strong project coordination and stakeholder management skills.
  • Strong attention to detail, organizational skills, and ability to manage multiple cases simultaneously.
  • Fluent English communication skills; additional languages are an advantage.
