The role focuses on Cvent registration, attendee-facing event apps, communications, logistics, and onsite support. The Senior Associate keeps deliverables on track, maintains accurate program information, raises risks early, and brings forward practical solutions. Success requires strong organization, discretion, attention to detail, and consistent follow-through.

Key Responsibilities

Meeting Planning and Workstream Ownership

  • Partner with the Manager to deliver assigned programs from intake through post-event closeout; own defined operational workstreams and keep the Manager informed of progress, risks, decisions, and changing priorities.
  • Maintain timelines, action logs, agendas, run-of-show documents, and planning materials. Coordinate planning calls, capture decisions, and follow up on assigned actions.
  • Anticipate program needs, identify potential challenges, and bring forward practical solutions and recommended next steps while maintaining accuracy and service quality.

Registration, Event Technology, and Automation

  • Build, configure, test, and maintain Cvent registration websites and attendee-facing event apps based on approved requirements.
  • Manage registration questions, event content, agendas, attendee communications, push notifications, and onsite information; check links and user journeys across devices.
  • Monitor registration, maintain accurate attendee lists, process updates, prepare reports, respond to attendee questions, and troubleshoot routine access issues; coordinate technical fixes with the Manager and technology partners.
  • Use Amgen-approved AI tools, automation, and technology to streamline registration, communications, reporting, and recurring tasks while following privacy, security, and compliance requirements. Identify practical improvements and share recommendations with the Manager.

Attendee Experience and Onsite Logistics

  • Coordinate invitations, travel and accommodation information, transportation, accessibility and dietary requirements, signage, and program materials.
  • Support onsite registration and check-in, event app assistance, attendee services, and assigned logistics; confirm materials, staffing, supplier deliverables, and onsite plans are ready.
  • Resolve routine attendee and operational issues using sound judgment; promptly escalate complex, sensitive, or time-critical matters to the Manager.

Stakeholder, Cross-Functional, and Supplier Coordination

  • Build productive working relationships with business contacts, executive administrative partners, internal teams, and suppliers.
  • Coordinate assigned requirements and deliverables with internal functions, including IT, Global Security, Facilities, Communications, Finance, Procurement, and Legal. Communicate expectations and deadlines, follow up on outstanding items, and flag service, schedule, or attendee concerns to the Manager.
  • Support the Manager and Venue Strategy Manager with venue requirements, decision materials, and site-visit logistics.

Budget, Compliance, and Documentation

  • Maintain budget trackers, supplier quotes, purchase-order information, commitments, and actual costs; flag discrepancies and variances for Manager review.
  • Check invoices and supporting records for completeness and consistency; prepare them for Manager review, route approved packages through established workflows, and assist with Finance reconciliation.
  • Maintain accurate Cvent records and required program documents; follow GMM policies, approval workflows, and applicable privacy and compliance standards.

Continuous Improvement and Team Support

  • Gather attendee feedback and supplier information, contribute to post-event debriefs, and recommend improvements to registration, communications, logistics, and attendee experience.
  • Identify opportunities to improve planning templates, processes, and team workflows to reduce manual effort and strengthen execution; coordinate coverage and share information with GMM colleagues to support continuity.

Required Qualifications

  • Bachelor’s degree in hospitality, business, communications, event management, or a related field; equivalent experience considered.
  • 2–3 years of experience in corporate or agency meeting planning, registration, event operations, or related work.
  • Experience coordinating multiple workstreams and deadlines with accuracy and attention to detail.
  • Demonstrated initiative, resourcefulness, sound judgment, accountability, and solutions-oriented communication; able to adapt to changing priorities and collaborate across functions.
  • Strong service orientation and discretion; proficiency with Microsoft Office, including Excel and PowerPoint.
  • Hands-on experience creating online registration sites and attendee-facing event apps; Cvent experience is strongly preferred.
  • Approximately 30% travel for onsite support, with occasional evening or weekend work based on program needs.
