Job Description

The Office Co-ordinator role is a junior resource to support the operations of the Sydney office, from a day-to-day operational perspective to support the continued growth of the real estate franchise in Australia, and the broader APAC region. Working closely with the APAC Real Estate Executive Assistant and broader Sydney team, the successful candidate will coordinate office and compliance matters. The role requires a reliable and motivated self-starter, to be part of a high-performing team culture and workplace, to continue executing the growth ambitions of Nuveen Australia.

Key responsibilities

Office coordinator duties, to support the local Directors and business heads, as well as the wider Sydney team, as required, in the performance of their roles, which may include (but not be limited to):

• Overseeing the efficient management and operations of the Sydney office including ensuring management and tidiness of meeting rooms and common areas;
• Oversight of local electronic hardware and software, and connecting with IT service desk and support to resolve local office IT matters;
• Working closely with Nuveen Support Services, including the COO function, in relation to local office Operational, financial and regulatory requirements;
• Assisting with local business reporting requirements, including management and financial reporting;
• Management of relevant third-party providers, including travel, office equipment and supplies, caterers, function managers, etc;
• Expense management including invoice and credit card processing and bank account management;
• Management of meetings, travel management and planning;
• Coordination of local team activities and events, and global team communications and engagements; and
• Coordinating quarterly events in relation to our Charity committee, as require
• Working closely with global Nuveen/TIAA personnel regarding Australian visits, site visits and meetings schedules and ongoing communications.

Qualifications & Experience Required:

• Reasonable and relevant work experience
• IT skills - Microsoft Office (Excel, PowerPoint and Word), along with a willingness attitude and aptitude to learn existing Nuveen and new IT systems and databases quickly.

• Proven ability to be proactive at all times and to “think beyond the square”
• Experience in responsibility for the efficient management of an office and team
• Excellent communication skills, both written and verbal
• Ability and willingness to deal with business units across time zones and regions
• A flexible approach to work requirements when and if required, particularly related to office hours or day-to-day duties as required
• Excellent organisational and time management skills, with a proven ability to set and work to priorities and deadlines
• An ability to work independently and proactively
• A strong sense of “team” and a strong focus on client needs
• Maintain the highest standards of conduct and professional judgement
