Global Events Coordinator
Lead the coordination of high-visibility global events in the insurance sector, supporting executive-level initiatives across North America and Asia. This hybrid Toronto-based opportunity offers hands-on involvement in complex event logistics, stakeholder engagement, and budget management within a fast-paced, international environment.
What is in it for you:
• Salaried: $35-42 per hour.
• Incorporated Business Rate: $42-49 per hour.
• 8-month contract with the potential for permanent employment.
• Full-time position: 37.50 hours per week.
• Weekday schedule from 9 am to 5 pm.
• Remote on Monday and Friday.
• On-site Tuesday to Thursday.
Responsibilities:
• Support the planning, coordination, and execution of global corporate events, including executive offsites, town halls, and leadership meetings.
• Manage event logistics such as registration platforms, calendar invitations, attendance tracking, and on-site coordination.
• Contribute to the delivery of engaging event experiences by supporting marketing touchpoints and communications.
• Track timelines, maintain detailed documentation, and ensure all deliverables meet high-quality standards.
• Assist with budget tracking and financial coordination related to event execution.
• Collaborate with internal stakeholders, vendors, and global teams across multiple time zones.
• Provide on-site support during events, including handling real-time challenges and ensuring seamless execution.
• Build strong working relationships with colleagues and stakeholders to support successful outcomes.
What you will need to succeed:
• University degree in a relevant field.
• 5 years of relevant experience, supported by a strong portfolio of delivered event work.
• 5 years of experience supporting the execution of global corporate events within a corporate or agency environment.
• Demonstrated project management and coordination skills, with the ability to manage multiple concurrent projects in high-visibility settings.
• Proven ability to handle unexpected challenges and perform effectively in fast-paced, high-pressure on-site environments.
• Strong financial acumen, with experience managing budgets and working confidently with numerical data.
• Excellent research capabilities combined with creative, outside-the-box thinking.
• Proficiency with Microsoft Office Suite and Microsoft Teams.
• Experience working with C-suite executives is considered an asset.
• Experience collaborating across global teams and multiple time zones is considered an asset.
• Exceptional attention to detail and strong deadline management skills.
• Demonstrated curiosity, eagerness to learn, and motivation to expand responsibilities.
• Strong sense of ownership, accountability, and a positive, service-oriented mindset.
• Highly observant with the ability to anticipate needs, connect insights, and proactively resolve issues.
