Job Description

Pittsburg State University is accepting applications for a General Services Supervisor in the Facility Operations department. The primary purpose of the General Services Supervisor will direct all operations of the Facility Operations Storeroom to ensure uninterrupted support of campus maintenance, custodial, grounds, and construction activities. The supervisor oversees inventory control, purchasing, receiving, warehouse operations, freight coordination, material distribution, and customer service while supervising storeroom personnel.

Duties and Responsibilities

40% - Supervises Storeroom Operations

  • Supervises daily operation of the Facility Operations Storeroom.
  • Plans, assigns, schedules, and reviews work performed by General Services employees.
  • Maintains perpetual inventory of maintenance materials, repair parts, equipment, custodial supplies, tools, and consumable products.
  • Ensures proper storage, organization, labeling, and security of inventory.
  • Conducts routine inventory cycle counts and annual physical inventories.
  • Establishes minimum and maximum inventory levels.
  • Maintains warehouse cleanliness and safe operating conditions.
  • Develops procedures to improve warehouse efficiency and customer service.

20% - Purchasing, Inventory Control, and Procurement

  • Coordinates purchasing of inventory stock and special-order materials.
  • Obtains vendor quotations and evaluates pricing, availability, and delivery schedules.
  • Works closely with Purchasing to ensure compliance with university purchasing requirements.
  • Reviews inventory usage trends and adjusts stock levels accordingly.
  • Maintains accurate inventory records using computerized inventory management systems.
  • Processes purchase requisitions, receiving documents, and inventory transactions.
  • Assists campus departments with ordering maintenance-related materials and supplies.

10% - Receiving and Distribution

  • Supervises receipt of all freight, UPS, FedEx, and express deliveries arriving at Facility Operations.
  • When necessary, inspects incoming shipments for damage, shortages, and order accuracy.
  • Coordinates resolution of shipping discrepancies with vendors.
  • Maintains receiving documentation and delivery records.
  • Coordinates timely campus distribution of freight and packages.
  • Assists with staging and scheduling delivery of large freight items.
  • Ensures proper handling and storage of hazardous materials in accordance with applicable regulations.

15% - Administrative Responsibilities

  • Maintains inventory reports, purchasing records, receiving logs, and warehouse documentation.
  • Prepares inventory usage reports and budget information.
  • Monitors warehouse expenditures and recommends budget adjustments.
  • Maintains vendor catalogs, pricing agreements, and procurement records.
  • Develops operating procedures and safety practices.
  • Provides training for Storeroom employees on inventory systems, purchasing procedures, warehouse safety, and customer service.
  • Participates in departmental planning and continuous improvement initiatives.

15% - Other Duties

  • Assists General Services during major campus events and special projects.
  • Coordinates emergency material purchases during weather events or facility emergencies.
  • Supports after-hours and emergency response operations as needed.
  • Performs other duties as assigned in support of Facility Operations and University operations.

Education and Experience

Required Education and Experience - Time of Hire

  • High School diploma or equivalent
  • Five years of related maintenance and repair experience

Preferred Education and Experience -

  • Associates degree in Business, Supply Chain Management, or related field.
  • Three years of progressively responsible experience in warehouse operations, inventory management, purchasing, facilities maintenance support, or materials management.
  • One year of supervisory or lead worker experience.
  • Experience with computerized inventory management or CMMS software.
  • Experience in higher education, municipal, or institutional facilities operations.

A valid driver's licenses is required and ability to obtain forklift certification.

Job Type: University Support Staff

Appointment Duration: 12 months

Work Schedule: Full Time, Monday – Friday, 8:00 AM – 4:30 PM

Salary Grade 8, $42,391.44 to $63,576.24 annually
