We are seeking a dynamic and detail-oriented General Services Specialist to join our team in Belgrade focusing on both Head Office & Factory Surčin. The role will primarily work on general administrative tasks, but will also involve supporting internal communication initiatives, event coordination, and employee engagement activities.

A day in the life of General Services Specialist

  • Process and maintain records of invoices and administrative documentation.
  • Create purchase orders and support procurement activities.
  • Prepare regular reports, records, and operational documentation.
  • Manage expense administration through company system for Board members.
  • Manage incoming and outgoing mail, including distribution of mails, invoices, and packages.
  • Answer phone calls, take messages, and greet guests, ensuring they are directed to the appropriate staff members.
  • Ensure the smooth day-to-day operation of the office and workplace environment
  • Coordinate travel and lodging arrangements for staff and company visitors.
  • Cooperates with SHE Manager and outsourcing agency on topics related to safety and health at work:
    • Ensures that all records are maintained;
    • In collaboration with agency implements fire protection and work safety regulations;
    • Organizes trainings in the field of safety and health at work and fire protection;
    • Coordinates Safety Induction programs for employees, visitors, and contractors;
    • Contributes to maintaining a safe, compliant, and efficient workplace environment;
  • Prepare General Services inputs for salary.
  • Placing orders and distribution of baby formula – for NA employees.
  • Assess office material and supply needs, and place orders accordingly. Distribute office supplies on a daily basis.
  • Ensure the cleanliness of the kitchen and coordinate cleaning services as needed. Coordinate with external vendors and service providers for facility maintenance and support.
  • Coordinate reservations for company pool cars and rental cars for employees.
  • Assist in coordinating internal communication initiatives - Support the planning and execution of internal events, meetings, workshops, employee engagement initiatives, and leadership visits, including logistics, venue preparation, catering, communications, and attendee coordination

What will make you successful?

  • Ideally, you are a proactive person structured and clear on priorities, proactive, with ability to multitask;
  • You have 1-2 years of prior experience on similar positions.
  • University degree in relevant field can be an advantage.
  • Your service orientation, interpersonal and communication skills are highly developed.
  • You have excellent knowledge of Serbian & English language, both written and spoken.
  • You are advanced user of MS Office package.
