About us

Damen Song Cam Shipyard is a joint venture between Damen Shipyards Group in the Netherlands and Song Cam Shipyard, based in Haiphong, Vietnam. The shipyard is a strategic and preferred production location within the Damen Shipyards Group, producing tugboats and workboats. Currently, the shipyard

outfits, commissions, and delivers approximately 40 vessels per year to clients worldwide. In the future, Damen Song Cam will increase its production facilities to deliver approximately 80 vessels a year and will start to produce some of the hulls that are currently sub-contracted to other yards.

The role

The purpose of this role is to provide high-level secretarial, administrative, and executive support to the General Director, while also assisting in monitoring, coordinating, and following up on selected management and operational matters as assigned. The General Director Assistant (GD assistant) acts as a trusted partner to the General Director, helping to enhance effectiveness, organization, communication, and execution of day-to-day managerial activities.

Key accountabilities

Your tasks are the following:

  • Executive Secretarial & Administrative Support

• Prepare, edit, and manage executive correspondence, reports, presentations, and official documents.

• Draft letters, emails, and internal communications on behalf of the General Director as assigned.

• Translate documents and communications between English and Vietnamese with accuracy and professionalism.

• Screen, prioritize, and manage incoming and outgoing correspondence for the General Director.

• Maintain systematic and confidential filing of documents, contracts, reports, and correspondence (hard copy and electronic).

• Making minutes of meetings as per requirement of GD.

  • Calendar, Time and Meeting Management

• Manage the General Director’s calendar, appointments, meetings, and business activities.

• Proactively coordinate schedules to ensure efficient use of executive time.

• Prepare meeting agendas and coordinate collection and distribution of materials in advance.

• Attend meetings when required; record clear minutes, key decisions, and action items.

• Organize meeting logistics including meeting rooms, equipment, refreshments, and materials.

• Business trip arrangement for GD and receiving VIP guests.

  • Communication & Stakeholder Coordination

• Handle and screen phone calls professionally; respond or redirect appropriately.

• Coordinate information exchange across departments to support effective execution.

• Ensure timely follow-up on communications, requests, and instructions issued by the General Director.

  • Management & Operational Support

• Assist in tracking progress of selected assignments, projects, and action plans across departments.

• Follow up on deadlines and task implementation; identify delays or issues and report status to the General Director.

• Support preparation of management reports, summaries, dashboards, and presentations.

• Collect, consolidate, and analyze basic data and information for managerial review.

• Handle sensitive and confidential information with integrity and discretion.

Qualifications & Requirements

To be successful in this role you bring:

  • Education

• Bachelor’s degree in Business Administration, Economics, International Trade, English, or related fields.

  • Skills and Competencies

• Excellent command of English and Vietnamese, both written and spoken

• Proficient in Microsoft Office

• Strong document preparation, formatting, and presentation skills

• Proactiveness in handling and attention to details

• Know how to handle the sensitive information and confidential aspects

  • Experience

• Minimum 3–5 years of experience in executive assistant, management secretary, or similar support role for senior management.

• Experience working in a professional, international, or manufacturing environment is an advantage.
