Job Description
The General Affairs Specialist ensures the smooth, efficient, and cost-effective operation of administrative and facility support functions within the factory. This role manages vendor services (cleaning, meals, transportation, security), factory supplies, expense processing, and reception/visitor support, while driving continuous service improvement. It also oversees employee onboarding logistics, work tool and PPE distribution, and company event coordination — working closely with production, HR, and facility teams to maintain a well-organized, compliant workplace in a fast-paced manufacturing environment.
Location: On site at factory, My Yen, Ben Luc
Working hour: Mon – Sat | 7:30 – 16:00
Responsibilities
Administrative Operations
- Manage day-to-day administrative services (cleaning, meals, transportation, security) and factory supplies (stationery, F&B, consumables) to meet company needs efficiently and cost-effectively.
- Handle incoming documents, correspondence, and packages, ensuring timely delivery to recipients.
- Verify and process administrative expense payments (utilities, stationery, services, repairs, rent, vehicles, business trips) on schedule to avoid late fees or service disruption.
- Prepare monthly expense reports.
- Perform document control: maintain organized hard copy and digital filing systems for administrative records.
- Maintain service quality through regular inspections, issue identification, resolution, and checklist development for each service area.
- Resolve administrative service complaints and anomalies promptly.
Reception & Visitor Support
- Manage employee onboarding logistics: ID cards, onboarding kits, access rights, seating arrangements.
- Issue and track work tools (phones, SIM cards, stamps), uniforms, lockers, and PPE.
- Coordinate visitor services: agenda, transportation, accommodation, F&B, and immigration support.
- Plan and execute company events (business trips, meetings, dinners, outings, team building) through cross-department coordination.
- Continuously improve reception processes to enhance employee and guest experience.
Other
Perform other tasks as assigned by the line manager.
Requirements
- Associate degree or higher in English, Business Administration, or related field.
- 3+ years in General Affairs, Corporate Affairs, or Employee Engagement within a manufacturing environment.
- Strong communication, organizational, and problem-solving skills.
- Proficient in MS Excel, Word, and PowerPoint.
- Detail-oriented, responsible, and adaptable to a fast-paced environment.
- Fluent Vietnamese; good spoken and written English.
