General Admin


Join a dynamic healthcare practice in a key customer service and administrative role that keeps patient documentation, provider communication, and urgent requests moving smoothly. You’ll help ensure medical documents, calls, patient records, and provider follow-ups are handled with accuracy, urgency, and care in a remote healthcare environment.


What You'll Do:


  • Review incoming electronic faxes throughout the day, including physician orders, equipment requests, notes requests, lab results, and X-rays.

  • Identify the purpose, urgency, and required action for each fax, usually based on the first two pages of the document.

  • Route documents to the correct provider for review or electronic signature, then fax completed documents back to the requesting office or organization through Outlook.

  • Attach received documents to the appropriate patient chart in the EHR and prepare requested notes or provider encounters after confirming approval when needed.

  • Monitor urgent lab results, X-rays, and urgent patient calls, notifying the provider promptly through WhatsApp and creating an email record for internal tracking.

  • Answer phone calls from medical offices, equipment companies, corporate entities, and patients.

  • Handle patient calls with patience and sensitivity, especially when speaking with elderly patients or individuals who may be unstable or distressed.

  • Add new patient admissions into the EHR when requested, especially when a provider needs the patient entered quickly before a visit.

  • Communicate with internal team members and IT when system or access issues arise.


Who You'll Work With:


Be an integral part of a healthcare practice team, supporting providers and internal team members by keeping patient documents, urgent updates, and communication flowing accurately. You’ll work closely with providers, medical offices, equipment companies, patients, and internal support teams to help maintain smooth daily operations.


Who We're Looking For:


  • Detail-Oriented:

    Able to carefully read medical documents, identify what is needed, and route information accurately.

  • Able to Recognize Urgency:

    Comfortable spotting urgent lab results, X-rays, or patient issues and escalating them quickly to the proper provider.

  • Patient and Professional:

    Capable of handling calls from elderly patients or individuals who may be upset, confused, or repeatedly calling.

  • Tech-Capable:

    Comfortable using Outlook, Teams, WhatsApp, electronic faxing tools, VPN access, and an EHR system after training.

  • Organized:

    Able to manage incoming faxes, phone calls, emails, provider communication, and chart updates without losing track of follow-ups.

  • Trainable:

    Prior EHR/EMR experience is not required, but must be able to learn the system and follow specific healthcare workflows.

  • Experience:

    General work experience is required.
