
Human Resources announces an opening for a 1.0 FTE Clerical Assistant with the Transportation Department. This is a full-time, 260 day position.
ESSENTIAL FUNCTIONS OF THE CLASS (May not include all duties performed; not all incumbents
perform all essential functions delineated.)
Orders supplies, processes requisitions and work orders; verifies receipt/ delivery; maintains databases.
Utilizes a variety of word processing, spread sheet, data base, graphics and presentation software to prepare
correspondence and memoranda, financial and presentation materials; updates, revises, and produces from
rough draft reports and correspondence; obtains appropriate signatures on correspondence and forwards to
appropriate personnel; enters, edits and updates data files and enrollment records; accesses data files to
view information and to print out hard copy reports.
Compiles data for reports; gathers and interprets information from appropriate source; composes routine
correspondence; may prepare information and presentation packets for use by a supervisor or coordinator.
Creates/ maintains employee files; schedules interviews for applicants, completes personnel action reports,
processes a variety of personnel forms and documents such as employment, re-employment, resignation,
termination, salary adjustment, leave, reassignment, promotion and demotion; processes time-and attendance and payroll documents.
In the planetarium, schedules student sessions, assists in collection and distributes related instructional
materials; maintains weekend and after-hours teacher time/attendance records and operating accounts.
Assists in student registration, eligibility, review and preparation of documents and intake process for
specialized instructional program/s, conducts intake orientation for parents and students; at times and as
assigned, serves as Spanish translator.
Performs initial application/ registration tasks for participation in the extended day program, serving as
billing clerk receptionist, processing payroll documents.
At a media processing center, performs a variety of ordering, receiving, expediting, processing, cataloging,
and distribution tasks ( supplies, materials, books, multi-media materials etc. ), utilizing both manual and
technology related procedures.
Receives and responds to requests for films, multi-media materials, completing related booking delivery,
retrieval and inspection activities; maintains files relating to activity.
Maintains time and attendance records; process leave requests, maintain leave records, and verify leave data
with payroll, and prepare payroll reports.
Schedules building/facility utilization (staff, students, public), notifying all personnel involved as required.
Reviews requests for service, actions, presentations, materials from school-based and non-school-based
staff and assists in tabulating and prioritizing said requests; prepares informational packets for workshops
or other purposes.
Serves as receptionist in a central office department; responds to in-person or phone inquiries; distributes
departmental documents; makes appointments or directs visitors to appropriate office or staff member
Processes bus route information, field trip requests, risk-management data, dispatching tasks re-school bus
transportation, and may serve as Substitute Bus Driver.
CLERICAL ASSISTANT
With experience, schedules own activities according to established procedure; schedules appointments for
appropriate staff members with parents.; assists in maintenance of supervisor/s or other administrator’s
schedule, appointments, meetings, etc.; maintains office-wide events calendar.
Receives and responds to phone inquiries; provides written and/or oral translations as required by
assignment.
May act as, or for, the Administrative Assistant and/or Administrative Specialist when needed.
Performs related work as required or assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Some knowledge of business office procedures, practices, and equipment, business English and office
terminology.
Some knowledge of, or ability to quickly learn procedure of the office or tasks to which assigned.
Ability to type/operate keyboard at approved rate of speed, operate personal computers, and data terminals,
and to complete routine memos and letters from general instructions.
Ability to maintain clerical records and prepare relatively complex reports from such records
Ability to operate a variety of standard office equipment.
Ability to work with fellow employees, school-based staff and the public, tactfully and courteously and to
work harmoniously with other employees.
Ability to communicate clearly and concisely, both orally and in writing.
Good organizational, human relations and communication skills.
MINIMUM EDUCATION, TRAINING, AND EXPERIENCE REQUIREMENTS
Graduation from high school, including or supplemented by courses in typing and office practices (some
responsible office clerical experience desirable); or any equivalent combination of education and experience
that would provide the above noted knowledge, skill, and ability.
For many assignments, ability to speak and/or write in Spanish is preferred or desirable.
CDL Class B with Passenger (P) and School Bus (S) endorsements are preferred.
Must successfully qualify for and obtain a Commercial Driver's License (CDL) with Passenger
(P) and School Bus (S) endorsements within (1) one year of accepting the position as a condition
of continued employment in the role.
SALARY: $19.77- $35.67 PER HOUR
