Job Description

The FF&E Coordinator is responsible for coordinating, scheduling, financial management, and procurement management related to any furniture, fixtures, and equipment (FF&E) work orders received from the client. This role works closely with the FF&E team, stakeholders, clients, project managers, vendors, and various facilities teams to ensure work orders are completed on schedule, within budget, and in accordance with project requirements and organizational standards.

The ideal candidate is highly organized, detail-oriented, and experienced in managing multiple work orders simultaneously while maintaining strong communication with internal and external partners.

Pay: $29 - $33

The pay listed is the hourly range or the hourly rate for this position. A specific offer will vary based on applicant’s experience, skills, abilities, geographic location, and alignment with market data.

· Coordinate all FF&E work orders, including planning, scheduling, procurement, and closeout.

· Collaborate with stakeholders, FF&E team, facilities teams, and end users to identify work order requirements and project objectives.

· Maintain FF&E calendar schedules, work order budgets, inventories, and tracking reports.

· Prepare and manage FF&E purchase orders, invoice receiving, and related documentation.

· Source and evaluate furniture, fixtures, and equipment solutions that meet project requirements and organizational standards.

· Coordinate with other facilities teams, suppliers, manufacturers, and vendors to obtain quotations, pricing, lead times, and product information.

· Track orders and proactively manage delivery schedules to ensure on-time work order completion.

· Coordinate logistics, warehousing, receiving, installation, and move management activities.

· Conduct site visits to verify field conditions, inventory requirements, and installation readiness.

· Identify and resolve issues related to procurement, product availability, shipping, and installation.

· Support budget management by monitoring expenditures, processing invoices, and assisting with cost reporting.

· Ensure compliance with company standards, safety requirements, and quality expectations.

· Participate in project meetings and provide regular status updates to stakeholders and facilities teams.

Suggested Education

· Bachelor's degree in Interior Design, Facilities Management, Architecture, Construction Management, Business Administration, or a related field preferred.

· Equivalent combination of education and relevant work experience will be considered.

Qualifications & Experience

· Minimum of 2–5 years of experience in FF&E coordination, facilities management, interior design, workplace planning, project coordination, or a related field.

· Experience managing furniture procurement, vendor relationships, and installation activities.

· Knowledge of commercial furniture systems, workplace standards, and FF&E industry practices.

· Experience supporting multiple projects simultaneously in a fast-paced environment.

Required Skills

· Strong project coordination and organizational skills.

· Excellent written and verbal communication skills.

· Ability to manage multiple priorities and meet deadlines.

· Strong attention to detail and problem-solving capabilities.

· Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook.

· Experience with project management and procurement tracking tools.

· Ability to collaborate effectively with cross-functional teams and external vendors.

· Strong analytical and reporting skills.

Preferred Skills

· AutoCAD experience preferred.

· Familiarity with space planning and workplace design principles.

· Experience with Maximo or Coupa a plus.

· Knowledge of furniture standards, ergonomics, and workplace strategies.

· Experience reading floor plans, construction drawings, and furniture installation documents.

Work Environment

· This is full-time, on-site position.

· Occasional travel may be required to support project installations, site assessments, and vendor meetings.

· Ability to lift and move sample materials or equipment up to 25 pounds, as needed.
