Position: Fundraising Project Coordinator

Department: Development Services

Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.

At Driscoll Children’s Hospital, donor generosity helps bring meaningful projects to life—from building playgrounds and creating monuments to strengthening programs and resources for children and families throughout South Texas.

We are seeking an organized, collaborative, and detail-oriented Fundraising Project Coordinator to lead and coordinate donor-funded projects from beginning to completion. This role ensures donor wishes are honored, funds are used appropriately, project requirements are met, and each initiative continues moving forward.

This is a highly team-oriented position that works closely with the Development Services team, Leadership, and departments throughout the Driscoll Health System. It’s a rewarding opportunity to build relationships across the organization and see donated funds become programs, spaces, and resources that directly benefit Driscoll patients and families.

Responsibilities

  • Lead and coordinate donor-funded projects, including project timelines, budgets, scope, action items, and progress tracking.
  • Partner closely with the Development Services team, Development leadership, and departments throughout the Health System.
  • Ensure donor wishes are carried out and donated funds are used in accordance with gift agreements, grant requirements, and hospital policies.
  • Track donations, grants, restricted funds, project expenses, and related expenditures.
  • Help departments identify available gift funds and determine the appropriate steps for using those resources.
  • Coordinate purchases, vouchers, approvals, fund releases, and other project-related needs.
  • Follow up with departments and project partners to ensure tasks are completed and projects remain on schedule.
  • Reconcile gift accounts and research, resolve, or report discrepancies.
  • Maintain accurate and current gift records in Raiser’s Edge and the hospital’s accounting system.
  • Prepare reports showing the status, availability, and use of donations and restricted funds.
  • Communicate with departments when major gifts, grants, or endowments are received to support their areas.
  • Lead the development and ongoing maintenance of a systemwide gift-monitoring process.
  • Build strong working relationships with department leaders, vendors, and other internal and external partners.
  • Provide additional project and administrative support to the Development team as needed.

Qualifications

  • Bachelor’s degree from a four-year college or university and five years of related experience or training; or an equivalent combination of education and experience.
  • Experience using Raiser’s Edge is a plus.
  • Strong project coordination, organizational, and follow-through skills.
  • Exceptional attention to detail and the ability to manage multiple projects and priorities.
  • Experience working with financial information, budgets, reports, and account reconciliations.
  • Strong written and verbal communication skills.
  • Ability to review gift agreements, interpret requirements, identify next steps, and solve problems.
  • A high level of professionalism, integrity, discretion, and confidentiality.
