This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Fundraising Operations Specialist based in Canada.
This role supports the operational backbone of fundraising activities, ensuring donor data, gift processing, and fundraising systems remain accurate and reliable. You’ll help create smooth and positive experiences for donors while enabling fundraising teams to work efficiently. The position combines database administration, donation processing, reporting, communications, and process support. You’ll collaborate closely with Finance, fundraising professionals, and internal stakeholders to maintain strong data integrity and effective workflows. The role also offers opportunities to support new donation platforms, system enhancements, and staff training. Accountabilities:
- Ensure accurate and timely entry of donations into Raiser’s Edge and other fundraising platforms, working closely with Finance to process various gift types.
- Manage gift administration activities, including tax receipts, thank-you letters, acknowledgements, and related donor stewardship processes.
- Act as a key public contact through the fundraising inbox and phone line, responding to donor and public inquiries with professionalism and care.
- Create, update, merge, and maintain donor records, including contact information, recognition preferences, communication permissions, and other relevant data.
- Produce and support fundraising reports from Raiser’s Edge to help demonstrate results and inform planning and decision-making.
- Coordinate, test, assess, and support the implementation of new donation platforms and enhancements to existing fundraising systems.
- Create and maintain online donation pages and backend configurations across relevant fundraising and event platforms.
- Support broad-based fundraising communications, including email setup, design, testing, list management, data tracking, and mail solicitations.
- Assist with the review and distribution of donor stewardship communications and prepare annual stewardship letters for endowment funds.
- Develop and maintain user procedures, process documentation, and training materials, while supporting staff during system and process rollouts.
- Maintain stewardship, solicitation, action, attribute, proposal, and related fundraising data through database uploads and ongoing data-quality reviews.
- Handle departmental mail and donation documentation, including scanning cheques and supporting records to ensure accurate gift documentation.
- Collaborate with fundraising operations, prospect development, research, and Finance teams to strengthen data integrity and operational efficiency.
- Contribute to process improvements and perform additional duties related to fundraising operations as required.
Requirements
- Post-secondary education in a relevant field or equivalent professional experience.
- At least 2 years of experience working in a not-for-profit environment, preferably within fundraising or donor services.
- Advanced proficiency with Microsoft Office, particularly Word, Excel, and Outlook.
- Proven experience maintaining, updating, and reporting from databases, with strong attention to data quality and accuracy.
- Experience with Raiser’s Edge or Raiser’s Edge NXT, particularly gift processing, is strongly preferred.
- Knowledge of fundraising processes, donor stewardship, database administration, and fundraising best practices is an asset.
- Experience with email marketing platforms such as Delivra is an asset.
- Excellent attention to detail, organization, and accuracy, particularly when handling financial and donor information.
- Strong written and verbal communication skills, with the ability to build positive relationships with donors, staff, volunteers, and other stakeholders.
- A service-oriented, collaborative, and results-focused approach, with the ability to manage multiple priorities effectively.
- Ability to work independently while contributing positively to a team environment.

Benefits
- Full-time, permanent salaried position with a 37.5-hour Monday-to-Friday workweek.
- Hybrid work arrangement, with approximately 4 days remote and 1 day working onsite in Toronto.
- Recruiting salary range of CAD $51,040–$55,000 annually
