About the Team & Business Line:

Fund Administration is Citco's core business, and our alternative asset and accounting service is one of the industry's most respected. Our continuous investment in learning and technology solutions means our people are equipped to deliver seamless client experience. As a core member of our Chief Administrative Office (CAO) team, you will work alongside some of the industry's most accomplished professionals, providing essential data and administrative support that enables the team to deliver consistent and high-quality services.

The CAO Business Support Administrator will be a key supporting contributor and direct report to the Business Services Supervisor. We are seeking a detail-oriented and analytically minded professional to provide data and administrative support to the Chief Administrative Office (CAO) team. The ideal candidate will assist in organizing, preparing and tracking data to support the team's day-to-day operations, while ensuring accuracy and timeliness in all deliverables. This role is not client-facing in a billing oversight capacity but rather focuses on supporting internal processes and operational needs of the CAO team.

Responsibilities:

  1. Data Management & Analysis
    • Collect data from a variety of sources, including internal databases and multiple Manager/Team Leaders
    • Perform data cleansing, processing, and validation to ensure accuracy and quality
    • Organize data in appropriate formats for analysis and reporting
    • Assist in creating and maintaining master data in the financial system of record
    • Update and maintain weekly status reports and data in designated databases
  2. Billing & Financial Support
    • Prepare billing tickets and reconcile billing reports
    • Assist in the preparation of engagement letters via the Icertis contract management platform
    • Generate regular reports on billing status as needed
  3. Administrative Support
    • Perform general administrative and clerical tasks to support the CAO team
    • Coordinate meetings, events, and other related activities as required
    • Assist in scheduling, preparing meeting materials, and maintaining organized records
    • Compile and process staff-related forms and documentation as needed
  4. Reporting & Documentation
    • Assist in the preparation of reports and financial data summaries for Manager/Team Leaders
    • Maintain and update internal databases and tracking tools
    • Assist in the preparation and distribution of internal communications and documentation
  5. Compliance & Process Improvement
    • Ensure adherence to internal policies, regulatory requirements, and operational guidelines
    • Support process improvement initiatives by identifying areas for increased efficiency
    • Work under challenging deadlines and be accountable for completing work within specified timeframes
  6. Cross-Functional Collaboration
    • Work with various departments (e.g., Fund Accounting, Client Services, Sales, Legal) to gather necessary data and information
    • Build and maintain relationships with CAO team members to support and accommodate workflow needs
    • Perform other related duties as required
  • Bachelor's degree in Business Administration, Finance, Accounting, Data Analytics, or a related field

  • 0–2 years of relevant work experience; fresh graduates are welcome to apply

  • Experience working with data is a plus — collecting, organizing, and analyzing information from multiple sources

  • Basic to intermediate knowledge of Microsoft Excel and Microsoft Office Suite

  • Strong analytical and problem-solving skills
  • Good communication skills, both oral and written
  • Detail-oriented with a high level of accuracy in completing tasks
  • Eager to learn and grow — coachable and open to feedback in a fast-paced environment
  • Shows initiative in self-directed learning and professional development

**Role will report at Alabang office on night shift (9pm to 6am)
