Job Description

Key Responsibilities

Sponsorship Contract Management & Fulfillment

  • Manage all incoming and renewed sponsorship agreements.
  • Track fulfillment of sponsorship benefits, including logo placement, event activations, recognition opportunities, and reporting deliverables.
  • Collaborate with marketing, events, and program teams to ensure sponsor obligations are met and documented.
  • Maintain clear communication with sponsors regarding timelines, deliverables, and reporting.
  • Manage the sponsorship invoicing process for accurate and timely sponsorship payments.

Fund Development Operations and Program Support

  • Coordinate and support all operational aspects of WinSport’s fund development initiatives, including sponsor prospect research, annual giving, events, sponsorships, and campaigns.
  • Assist in preparing fundraising materials, proposals, grants, sponsorship decks, and impact reports.
  • Collaborate with marketing to align fundraising campaigns with brand and storytelling strategies.
  • Lead the administration and delivery of WinSport’s voucher program.

Donor Stewardship and Engagement

  • Support donor recognition, acknowledgements, and stewardship plans to ensure timely, personalized, and meaningful donor engagement.
  • Coordinate donor communications including tax receipts, thank-you letters, impact updates, and stewardship touchpoints.
  • Support cultivation strategies for prospective donors, including research and outreach preparation.
  • Support donor events, site visits, and engagement experiences.

CRM Management (Fund Development CRM)

  • Serve as the primary administrator for the organization’s fund development CRM system.
  • Input, update, and maintain donor, sponsor, and prospect records, ensuring accuracy and consistency.
  • Create and maintain processes for efficient data entry, segmentation, and reporting.
  • Generate and distribute donor and sponsor reports for internal stakeholders and external partners.

Events Coordination

  • Support planning and execution of fundraising and stewardship events, including logistics, guest management, sponsorship fulfillment, and follow-up.
  • Coordinate cross-functional teams (marketing, sales and events, finance etc.) to ensure event success.
  • Assist with post-event evaluation, reporting, and donor follow-up.

Data Management & Reporting

  • Maintain accurate, up-to-date records of donations, sponsorship payments, pledges, and contact information.
  • Develop and maintain dashboards, performance reports, and tracking tools to support fundraising and sponsorship strategies.
  • Conduct data analysis to identify trends, opportunities, and areas for improvement in donor and sponsor engagement.
  • Ensure compliance with privacy laws, CRA charitable receipting requirements, and internal data security policies.

Continuous Improvement and Innovation

  • Identify opportunities to enhance fundraising systems, donor experience, and operational efficiency.
  • Support implementation of new tools, technologies, and best practices.
  • Contribute ideas to improve donor engagement, retention, and acquisition strategies.

Qualifications and Experience

  • Diploma or degree in business administration, marketing, communications, or a related field.
  • Minimum of 2 years of experience in fundraising, sponsorship, or donor relations.
  • Experience working in non-profit supporting campaigns, donor relations, or events.

Skills and Competencies

  • Experience managing a CRM database (e.g., Raiser’s Edge, Salesforce, DonorPerfect, HubSpot, SponsorCX, Blackbaud product suite).
  • Exceptional written and verbal communication, organizational and interpersonal skills.
  • Strong research as well as grant and proposal writing skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with data analysis and reporting tools.
  • Knowledge of fundraising best practices, sponsorship management, and donor stewardship principles.
  • Self-starter who can work independently and take initiative.
  • High attention to detail with a strong focus on accuracy, follow through, and risk mitigation.
