JOB DUTIES AND RESPONSIBILITIES

  • Accurately process and input guest reservations into the system in a timely manner.
  • Respond to guest inquiries regarding room rates, hotel amenities, outlets and room locations.
  • Maintain up-to-date knowledge of reservation systems and phone operations.
  • Professionally handle guest special requests, ensuring exceptional service and follow-through.
  • Manage advance deposits and maintain accurate reservation and payment records.
  • Complete assigned tasks and projects within established deadlines.
  • Prepare and process required documentation according to company standards.
  • Address guest concerns and complaints with empathy, professionalism, and a solution-oriented approach.
  • Collaborate with team members and perform additional duties as assigned by the Reservations Supervisor or Manager.

EDUCATION AND EXPERIENCE

  • High school diploma or equivalent required.
  • Minimum of six (6) months of prior reservations or front office experience in a full-service hotel or related environment preferred.
  • Experience with Opera PMS strongly preferred
  • Equivalent combination of education and experience may be considered

KNOWLEDGE, SKILLS AND ABILITIES

  • Demonstrate proficiency in Microsoft Office applications (Word, Excel, Outlook)
  • Utilize working knowledge of Opera PMS (preferred)
  • Maintain professionalism, diplomacy, and tact in challenging situations
  • Apply strong attention to detail when managing complex record-keeping and administrative procedures
  • Make sound, independent decisions with confidence
  • Execute quick, effective decisions that support guest satisfaction and team success
  • Operate moderately complex computer systems and troubleshoot basic software issues
  • Resolve guest concerns and complaints with empathy, patience, and professionalism
  • Ability to have a flexible schedule including nights, weekends, and holidays
