Full time position in Ashe Women and Children's Health


The Practice Manager is the main link between the public and the assigned clinics (up to total of 5 providers). The Practice Manager establishes a smooth working relationship between all support staff and providers and provides patients with friendly efficient care. The Practice Manager is responsible for coordinating all operational functions of the assigned clinic (s) and provides services that reflect the standards and philosophy of Ashe Memorial Hospital (AMH).

MINIMUM JOB QUALIFICATIONS:

Education: Associate degree in a business field or relevant experience preferred. Bachelor's degree preferred.

Experience: Prior medical office leadership experience preferred.

License/Certifications: None.

ESSENTIAL FUNCTIONS:

  1. Analyses and organizes office operation and procedures such as typing, bookkeeping, flow of correspondence, filing, requisition of supplies, and other clerical services.
  2. Evaluates office production, revises procedures or devises new forms to improve efficiency of workflow.
  3. Establishes uniform correspondence procedures and style practices.
  4. Formulates procedures for retention, protection, retrieval, transfer, and disposal of records.
  5. Reviews patient records to ensure completeness, accuracy, and timeliness.
  6. Prepares needed reports for guidance of management.
  7. Accurately posts charges and payments and manages billing operations for assigned clinics.
  8. Pulls records, answers telephone, transfers calls and/or takes accurate messages.
  9. Keeps general information about the services of the clinic.
  10. Manages electronic medical records system as well as hospital computer system.
  11. Schedules appointments and makes referral appointments.
  12. Acts as receptionist for visitors to the office, as needed.
  13. Balances cash drawer according to the AMH procedures.
  14. Facilitates patient flow.
  15. Checks patients in, obtains and updates personal and insurance information.
  16. Coordinates scheduling for all personnel.
  17. Approval and Completion of time sheets according to AMH procedures, enters information into Kronos.
  18. Demonstrates good verbal and written communication and telephone skills.
  19. Attends staff, educational, safety, and training meetings.
  20. Abides by policies and procedures of AMH.
  21. Responsible for compliance with all state, federal, and regulatory laws.
  22. Responsible for work assignments for all staff in assigned clinics.
  23. Assists with other duties as assigned.
  24. Goals from previous evaluation were met.



Budget:

  1. Monitors and controls FTE budget for assigned practices.
  2. Monitors and controls expense items against budget.
  3. Monitors overtime (OT) against budget. Year-to-date overtime should be no more than 2%.
  4. Completes department budget and meets budget deadlines.
  5. Analyzes and recommends new revenue/enhancements.
  6. Makes recommendations as to the purchase of capital equipment items in the budget process.

Leadership:

  1. Analyzes department needs/problems and complete by deadline.
  2. Makes decisions in clinic matters after careful consideration of alternatives before making decisions.
  3. Keeps superiors informed of department development and outcomes of problem resolution.
  4. Demonstrates mission and values of the facility.
  5. Manages time appropriately to meet department needs.
  6. Attends Department Leader Manager Meetings.
  7. Promotes a culture of safety by attending Safety Meetings.
  8. Understands and submits correct forms for ordering equipment/supplies/education/expense reimbursement, patient/Visitor Occurrence Reporting system, etc.
  9. Reviews department policies at least annually. Identifies QI projects for the department at least annually. Submits QI Projects by deadline

Human Resources:

  1. Completes employee performance evaluations according to policy.
  2. Counsels regularly with subordinates about their performance. Uses appropriate forms according to policy.
  3. Follows the steps of the Hiring/Termination Processes.
  4. Conducts 12 staff meetings for each assigned clinic and reviews/signs minutes of all meetings monthly and provide copy to the DPM.
  5. Submits payroll accurately via Kronos System on employees/contract employees according to designated times.
  6. Completes appropriate forms per hospital policy (i.e. absence forms, employee incident reports, termination, etc.).
  7. Submits requested information to the accounting department on payroll Monday.
  8. Adheres to the Salaried Employee Policy.
  9. Provide work itinerary to DPM for each week during pay period.

Must be willing to receive all required vaccinations (i.e., flu shot, etc.). All new employees working must be fully vaccinated as a condition of employment (unless the new hire has requested and received an exemption). After receiving an offer of employment, new employees must provide proof of vaccination or request and receive an exemption before beginning work.
