The Administrative Assistant provides senior-level administrative and operational support to the Dean, serving as a key resource in advancing the priorities and objectives of the portfolio. The position manages the flow of information into and out of the Dean's Office, coordinates responses to strategic and operational matters, and ensures timely follow-up on initiatives, projects, and commitments.
The incumbent acts as a primary point of contact for internal and external stakeholders, including faculty, administrative staff, students, industry partners, donors, and community organizations. The position supports management committees, school-wide initiatives, external engagement activities, human resources processes, and special projects while exercising discretion and sound judgment in handling sensitive and confidential information.
Duties and Responsibilities:
Effective Functioning of the Dean's Office
Coordinate the day-to-day operations of the Dean's Office by managing executive scheduling, correspondence, meetings, records, confidential information, and administrative support for strategic initiatives and leadership activities.
Supports External Engagement and Industry Relations
Build and maintain positive relationships with internal and external stakeholders by coordinating events, partnerships, Program Advisory Committee (PAC) activities, and community engagement initiatives.
Supports Human Resources Related Processes
Coordinate HR and administrative processes, maintain accurate records, support staffing and funding activities, and ensure compliance with College policies and procedures.
Scheduling and Coordination
Manage the Dean's calendar and travel, prepare correspondence, coordinate executive participation in College and community events, and organize visits for external stakeholders and partner institutions.
Other duties as assigned.
Required Qualifications:
Minimum two (2) year diploma in Business, Commerce, Office Administration, Human Resources, Communications, Public Administration, or related field. Equivalent combination of relevant education and work experience may be accepted in place of formal education.
Minimum of five (5) years progressive administrative experience supporting senior leaders, preferably in an educational environment, including:
Experience coordinating multiple projects and priorities, including events.
Experience handling highly confidential information.
Experience supporting HR, financial, governance and operational processes.
Experience preparing reports, presentations, correspondence and briefing materials.
Experience using Microsoft 365 applications and digital productivity tools, including Microsoft Teams and AI-enabled tools (e.g., Microsoft Copilot), where appropriate, to support document preparation, meeting coordination, information management, and administrative efficiency.
Experience using data and digital tools to support effective business decision making.
Experience working with diverse internal and external stakeholders.
