Job Description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a FSP Vendor Management Specialist based in Brazil.

This role is responsible for ensuring effective third-party vendor oversight throughout the clinical trial lifecycle.
You will work closely with study management teams, functional experts, procurement, quality representatives, and external partners to keep clinical studies on track.
The position combines vendor relationship management, project coordination, risk management, and compliance within a global clinical research environment.
You will monitor vendor performance against agreed timelines, deliverables, quality standards, and contractual commitments.
Your work will directly support successful study execution by identifying risks early, coordinating issue resolution, and driving accountability across stakeholders.

Accountabilities:

    • Lead the day-to-day oversight and management of third-party vendors throughout the clinical study lifecycle.
    • Develop study-specific vendor management plans, Vendor Oversight Plans, specifications, and supporting documentation in collaboration with study management teams, functional SMEs, procurement, and relevant oversight stakeholders.
    • Establish, monitor, and maintain clear vendor timelines, deliverables, responsibilities, and contractual commitments at study level.
    • Maintain regular communication with internal study teams, providing updates on vendor performance, study progress, risks, issues, and mitigation activities.
    • Monitor vendor performance through KPIs, governance meetings, performance reviews, and structured issue-management processes.
    • Organize and facilitate vendor meetings, including preparation of agendas, documentation of minutes, tracking of actions, and follow-up on commitments.
    • Identify, assess, escalate, and proactively mitigate vendor-related risks throughout study execution.
    • Drive cross-functional collaboration and problem-solving to ensure vendor issues are resolved efficiently and study milestones are achieved.
    • Partner with Functional Quality Representatives and other stakeholders to ensure vendor deliverables meet required quality standards and study expectations.
    • Ensure vendor activities remain aligned with Good Clinical Practice (GCP), ICH guidelines, applicable regulatory requirements, internal policies, and relevant procedures.
    • Facilitate effective communication between external vendors and internal clinical study teams.
    • Maintain accurate and up-to-date vendor and study information within applicable internal systems and platforms.
    • Review vendor deliverables to support invoice transparency, identify discrepancies or inconsistencies, and communicate relevant concerns to clinical trial leadership.
    • Coordinate study-level vendor performance meetings and contribute to ongoing vendor relationship management and continuous improvement.
    • Requirements:

      • At least 2 years of experience in Clinical Operations, Clinical Study Management, Vendor Management, or Clinical Operations Management within a sponsor or CRO environment.
      • Demonstrated experience supporting or managing clinical studies while balancing quality, timelines, budget expectations, and operational priorities.
      • Proven experience managing third-party vendors and executing study-level vendor oversight activities.
      • Practical experience developing and implementing vendor management or oversight plans according to study requirements.
      • Strong project management, stakeholder management, risk assessment, contingency planning, and cross-functional collaboration skills.
      • Knowledge of clinical study management across at least one clinical development phase, such as Phase I, II, or III.
      • Solid understanding and practical application of GCP, ICH guidelines, and global regulatory requirements relevant to clinical development.
      • Experience monitoring vendor performance through KPIs, governance meetings, issue tracking, escalation, and performance management processes.
      • Strong written and verbal communication skills, with the ability to work effectively with internal stakeholders and external vendors.
      • Bachelor's or Associate's degree in a relevant field is preferred.
      • Previous experience working with Vendor Oversight Plans, study specifications, procurement teams, and formal vendor governance processes is an advantage.
      • Highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a global clinical research environment.
