TITLE: Documentation Clerk A

POSITION OBJECTIVE: The Maintenance clerk is responsible for overseeing the management and operation of the Computerized Maintenance Management System (CMMS), ensuring the effective scheduling and execution of preventive maintenance (PM), management of work orders, and efficient handling of spare parts inventory. This position ensures that maintenance activities are streamlined and that spare parts are available to support operations and minimize downtime

QUALIFICATIONS:
• Minimum three years with maintenance work order system experience in industrial or manufacturing facilities equipment or related CMMS system.
• Must have work order and asset management experience in generating, managing, and closing workorder using the CMMS.
• Track equipment performance, work order history, and maintenance costs through the system experience, required.
• Previous experience in Pharmaceutical, Nutraceutical or food industry, preferred.
• Knowledge of general facilities maintenance and facilities equipment maintenance required.
• Strong understanding of maintenance processes, including preventive maintenance (PM), predictive maintenance (Pd.M.), and corrective maintenance.
• Ensure consistent, dependable attendance and demonstrate a willingness to accommodate non-standard work hours as necessary.
• Capable of effectively managing job-related stress and fostering productive workplace interactions.

JOB RESPONSIBILITIES:
• Create new work orders in the CMMS for equipment requiring maintenance.
• Assign work orders to the appropriate technician or team.
• Monitor work order progress and ensure timely closure.
• Set up routine preventive maintenance tasks for all critical equipment.
• Review and adjust preventive maintenance plans based on actual performance and maintenance records.
• Track pending work orders and follow-up with technicians to ensure timely completion.
• Reassign or escalate urgent work orders if delays occur.
• Regularly update the CMMS with current spare parts inventory.
• Create reorder points for critical spare parts to prevent stockouts.
• Run inventory audits to ensure data accuracy.
• Compile reports on equipment downtime, work order completion, maintenance costs, etc.
• Analyze the reports to identify inefficiencies or trends in maintenance operations.
• Train maintenance staff on proper use of the CMMS, including how to create work orders, update job statuses, and close work orders.
• Provide ongoing support to users and address any system-related issues.
• Ensure all relevant data (equipment, asset information, maintenance history) is correctly entered into the CMMS.
• Update the system with new equipment, location, and user details as required.
• Ensure that all maintenance documentation is uploaded to the CMMS and kept in compliance with industry standards.
• Assist in audits by retrieving maintenance records and generating compliance reports.
• May be required to perform other duties as requested, directed or assigned.

PHYSICAL ACTIVITY REQUIRED FOR THIS POSITION:
• Ability to lift up to 50 lbs.
