Our Front Office Manager plays a crucial role in ensuring the smooth operation of a medical facility's front desk and administrative functions. This position requires a combination of managerial, organizational, and interpersonal skills to effectively oversee staff, manage patient interactions, and maintain efficient administrative processes. The Front Office Manager serves as a liaison between patients, healthcare providers, and administrative staff, ensuring a positive experience for all stakeholders.

Roles and Responsibilities

  • Lead and manage front office staff including Medical Front Office Associates, Billing Associates, and other positions as assigned.
  • Provide guidance, training, and performance evaluations to ensure staff productivity and adherence to established protocols.
  • Foster a positive work environment that encourages teamwork, professionalism, and excellent customer service.
  • Maintain accurate and up-to-date patient records in electronic health record (EHR) systems, ensuring compliance with regulatory requirements.
  • Develop and implement office policies, procedures, and workflows to optimize efficiency and productivity.
  • Monitor and manage office inventory, supplies, and equipment to ensure adequate levels for daily operations.
  • Identify areas for improvement and implement solutions to streamline processes and enhance overall office performance.
  • Liaise with healthcare providers, clinical staff, and other departments to coordinate patient care and ensure seamless communication.
  • Collaborate with internal stakeholders to address operational challenges and achieve organizational goals.
  • Handle patient inquiries, complaints, and concerns promptly and courteously, striving to resolve issues to the satisfaction of the patient.
  • Maintain confidentiality of patient information in accordance with HIPAA regulations.
  • Will perform other duties as assigned

Experience Requirements

  • Proven experience in a medical office setting, with at least 4+ years in a supervisory or managerial role.
  • Strong leadership abilities with the ability to motivate and develop a team.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in medical billing software, EHR systems, and Microsoft Office Suite.
  • Knowledge of healthcare regulations, including HIPAA compliance and medical coding.
  • Detail-oriented with strong organizational and problem-solving skills.
  • Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment.
  • Commitment to providing high-quality patient care and customer service.

Education Requirements

  • High School Diploma and/or GED Required
  • Bachelor's degree in healthcare administration, business management, or equivalent experience strongly preferred

Physical Requirements

  • While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel. The employee is frequently required to stand, walk, and sit. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
