We are now looking for a confident and experienced Front Office Coordinator/ Assistant Manager to play a key role in the day-to-day running of one of our busy clinics.

The Role

This is a hands-on operational role for someone who enjoys being at the centre of a busy clinic.

You’ll take ownership of the daily workflow, ensuring the front office and clinical teams are working together efficiently and that patients, providers and staff are set up for a successful day.

Working closely with the Multi-Site Practice Manager, you’ll be the key operational point of contact within the clinic, managing day-to-day priorities, coordinating the team and escalating any risks, staffing gaps or operational issues as required.

Your responsibilities will include:

• Managing the daily appointment book and supporting efficient patient flow
• Ensuring patients, clinicians and treatment rooms are prepared for the day
• Coordinating between the front office and clinical teams
• Supporting providers to maintain efficient and on-time schedules
• Leading daily team huddles and coordinating workflow throughout the day
• Providing day-to-day direction and support to reception and clinical support staff
• Monitoring rosters, attendance and staffing coverage
• Escalating staffing or operational concerns to the Multi-Site Practice Manager
• Supporting onboarding and development of new team members
• Managing consumable ordering, stock levels and inventory
• Maintaining cost discipline and identifying unnecessary expenses
• Supporting treatment scheduling, surgery logistics and clinical coordination
• Ensuring the team follows Nova's policies, procedures and operational standards
• Maintaining accurate documentation and supporting compliance and audit readiness
• Helping to create a positive, professional and collaborative team culture

This role is ideal for someone who enjoys taking ownership, solving problems and keeping a busy clinic running smoothly.

About You

To be successful in this role, you'll ideally have:

• Previous dental reception or senior dental administration experience
• A strong understanding of dental practice operations and patient flow
• Experience coordinating schedules and managing busy appointment books
• Leadership, team coordination or supervisory experience
• Excellent organisational and time management skills
• The confidence to make decisions and resolve operational issues
• Strong communication and interpersonal skills
• Experience with dental practice management software, ideally CareStack
• A proactive approach with a strong sense of accountability
