Job Description

JOB TITLE: Receptionist

SCHEDULE Mon-Fri, 5:45am-2:15pm, occasional Sat 5:45am-11am

GENERAL SUMMARY OF DUTIES: To provide support to administrative office staff assuring a smooth departmental work flow. Responsible for performing daily tasks such as sorting mail, answering phone and routing incoming calls, filing, copying, data entry, and other similar duties, using a computer terminal. Relieves office staff of clerical work, and minor administrative and business detail.

ESSENTIAL FUNCTIONS

  1. Answer, screen, and forward calls, providing information and taking messages
  2. Interact with all levels of management
  3. Make bank deposits when needed
  4. Prepare check logs
  5. Meet and greet visitors entering the office, determine the nature or purpose of visit, and direct or escort them accordingly
  6. Compose and prepare routine correspondence
  7. Create and maintain spreadsheets and reports
  8. Keep reception area neat
  9. Keep conference room clean and neat for meetings
  10. Collect, sort, distribute, and prepare mail and courier deliveries
  11. Back up for other assistants
  12. Determine appropriate direction for business inquiries
  13. Daily filing and retrieving of files
  14. Printing purchase orders and other supporting documentation for Accounts Payable staff
  15. Prepare materials for meetings as required
  16. Maintain organized filing systems
  17. Arrange conference calls
  18. Complete a variety of special projects
  19. Perform other duties as assigned

EDUCATION/REQUIREMENTS

  1. High School Diploma
  2. Associates Degree preferred
  3. 2+ years of administrative experience
  4. 1-2 years of customer service/customer relations experience

KNOWLEDGE

  1. Knowledge of policies and procedures.
  2. Knowledge of Microsoft Word, Word Perfect, Excel, PowerPoint skills, QuickBooks, computer systems, programs and spreadsheet applications.
  3. Knowledge of medical terminology preferred.

SKILLS

  1. Skill in gathering and reporting claim information.
  2. Strong verbal, interpersonal and written communication skills required.
  3. Skill in solving utilization problems.
  4. Skill in written and verbal communication and customer relations.

ABILITIES:

  1. Ability to work with effectively with executive offices, medical staff and external agencies.
  2. Must be able to work in a fast paced environment and be client service oriented.
  3. Ability to identify, analyze and solve claim problems.
  4. Must be self-motivated, have excellent organizational skills, good judgment skills and a team player.

PHYSICAL/MENTAL DEMANDS Requires sitting and standing associated with a normal office environment.

ENVIRONMENTAL/WORKING CONDITIONS Normal busy office environment with much telephone work. Occasional overtime, evening and/or weekend work.
