Salary Range: $20.00 - $25.00 Hourly

Position Summary:
Answers incoming telephone calls, greet clients and visitors, process mail and provide various administrative duties for sales, service and management departments, as necessary.
Front Desk Essential Duties and Responsibilities:
- Ensure a friendly and attentive approach is practiced at all times.
- Answer incoming telephone calls in a clear and professional manner.
- Direct callers to the appropriate agency personnel, voicemail box, or take messages and transfers them to the appropriate person(s).
- Provide clients with appropriate telephone numbers for specific insurance companies to report claims, and/or make payments.
- Greet all Clients and/or visitors when they arrive in the Office and direct them to the appropriate party(s).
- Maintain an environment that projects a professional, polished, and service-oriented image to all Clients/Visitors.
- Maintains a clean and presentable lobby/office area at all times.
Administrative Office Support Duties and Responsibilities:
- Process incoming/outgoing mail and faxes, including mail that must be retrieved from carrier websites.
- Scan documents and utilize the Agency Management System, as necessary, to assist with workload efforts throughout the office.
- Provide Download support by attaching unassigned Policy and Accounting Download Transactions in the Agency Management System.
- Assist with ordering office supplies as needed.
- Prepare/Process ID cards, Certificates of Insurance, and Evidence of Property requests, as requested.
- Research payment and billing issues, and direct cancellations/expirations to the appropriate Account Manager.
- Process claims notices, per Agency Claims procedures.
- Update monthly Expiration and Cancellation reports.
- Participates with all departments/personnel on special projects and other duties as needed.
QualificationsMinimum
Qualifications:
- High school diploma or equivalent.
- 1-2 years of administrative or customer service
- Experience with Microsoft Office, Windows and Internet.
Schedule:
- In office Monday to Friday 8:30am to 5:00pm PT
