The Front Desk & Practice Support Coordinator is a key administrative role that supports the daily operations of the practice while assisting the Operations Manager. This position serves as a contact for patients and plays an essential role in scheduling, patient communication, insurance verification, basic billing support, and treatment coordination. The role requires strong organizational skills, attention to detail, and the ability to assist with financial and operational workflows while delivering excellent patient service.
Key Responsibilities
Front Desk & Patient Experience
Serve as contact for patients via phone, text, email, and in person.
Greet patients warmly, check-in and check-out, and maintain awareness of wait times.
Answer phones, manage voicemail and email, and respond promptly to patient inquiries.
Enter patient information accurately and maintain proper chart documentation.
Assist with daily opening and closing procedures as assigned.
Scheduling & Care Coordination
Schedule appointments according to provider availability and production goals.
Coordinate proper registration, forms, and documentation for appointments and procedures.
Work to fill open appointment slots.
Confirm appointments.
Coordinate consults, treatment appointments, and internal team handoffs.
Insurance & Billing Support
Verify insurance benefits and accurately enter information into practice management systems.
Explain basic insurance benefits to patients as they relate to treatment plans.
Assist with insurance claims, pre-estimates, and follow-ups as directed.
Post insurance payments and support insurance and A/R aging follow-up.
Ensure charges are entered daily and accurately based on completed procedures.
Communicate billing or insurance concerns to the Operations Manager.
In coordination with RCM, credentialing of providers and upkeep of necessary documents related to par status.
Treatment & Financial Coordination Support
Assist in preparing and presenting treatment plans and financial information as directed.
Maintain a high understanding of the practice’s lead-to-sales process.
Support patients in understanding treatment options, financial alternatives, and payment plans.
Help collect co-pays, down payments, and required financial documentation.
Obtain signed treatment plans and financial agreements when applicable.
Follow up with patients who have unscheduled or pending treatment as directed.
Administrative & Operational Support
Prepare daily deposits and assist with balancing the cash drawer (shared responsibility).
Maintain individual and practice statistics (KPI-Key Practice Indicators) as assigned.
Generate basic reports (insurance aging, pre-estimate aging, collections) as assigned.
Use practice management software and CRM systems (e.g., Salesforce) accurately and consistently.
Assist the Operations Manager with special projects and operational tasks.
Perform other duties as assigned by Operations Manager to support practice efficiency and growth.
Qualifications & Skills
Required Qualifications
High school diploma or equivalent required; additional education in healthcare administration, business, or a related field preferred.
Minimum of 1–3 years of experience in a healthcare, dental, or medical front desk, administrative, or patient coordination role.
Experience with scheduling, patient communication, and front desk operations in a clinical setting.
Working knowledge of insurance verification, basic billing processes, and explanation of benefits (EOBs).
Proficiency with electronic health records (EHR) and general office software (e.g., Microsoft Office, Google Workspace).
