Make an Impact
We are seeking a professional, service-oriented, and highly organized Front Desk, Office & Travel Coordinator to join Fossil Group in Basel, Switzerland. In this role, you will serve as the face of Fossil Group, creating a welcoming and professional experience for visitors, employees, and external partners while ensuring the smooth day-to-day operation of our Basel office. You will also play a key role in coordinating employee travel across EMEA and APAC, supporting visa processes, office administration, facility-related activities, and company events.
This is an onsite position based in our Basel office, where you will be the primary point of contact for visitors, employees, vendors, and business partners while supporting a wide range of operational and administrative activities across the organization.
What you will do in this role
Reception & Visitor Experience
• Welcome visitors, customers, and business partners, ensuring a professional and positive first impression of Fossil Group
• Manage visitor registration, access badges, and internal arrival notifications
• Answer, screen, and direct incoming phone calls while providing information and support in English, German, and French
• Manage shared communication channels, including reception email inboxes and telecommunications systems
Office Operations & Administration
• Coordinate incoming and outgoing mail, courier services, and shipments
• Manage pool vehicles, rental cars, and company bicycle administration
• Support the logistics and coordination of employee watch repairs
• Maintain office equipment and serve as the primary contact for external suppliers and service providers
• Ensure the reception area remains organized, professional, and welcoming at all times
• Coordinate smaller office-related purchases and operational requests
Travel Coordination
• Coordinate employee travel arrangements across EMEA and APAC in partnership with the company travel agency
• Provide support and guidance for visa applications and travel documentation
• Act as a primary point of contact for travel-related inquiries and issue resolution
• Support employees with travel policies and travel booking processes
Facilities & Event Support
• Coordinate bookings and administration for meeting rooms, the auditorium, and event spaces in collaboration with Facilities
• Prepare contracts, invoices, and supporting documentation related to meeting and event spaces
• Support the planning and execution of company events, customer visits, trade fairs, and partner meetings
• Assist visitors and guests with accommodation, transportation, restaurant reservations, and general logistics
Operational Support & Compliance
• Monitor office access systems and building alarms in partnership with the Loss Prevention team
• Process invoices, expense documentation, and administrative reporting tasks
• Support data collection and reporting activities for various operational functions
• Participate in office improvement projects and operational initiatives
• Serve as an active member of the First Aid and Evacuation Teams
Who You Are
• 3–5 years of experience in reception, office management, travel coordination, hospitality, or a similar customer-facing role
• Professional, friendly, and approachable with a strong customer-service mindset
• Excellent organizational skills with the ability to manage multiple priorities simultaneously
• Self-motivated, reliable, and able to work independently
• Proactive and solution-oriented with strong attention to detail
• Strong verbal and written communication skills
• Calm and professional under pressure, with excellent listening and interpersonal skills
• Comfortable working with employees, customers, vendors, and senior stakeholders
• Fluent in English, German, and French
• Proficient with Microsoft Office and/or Google Workspace applications
