Title: Front Desk Coordinator (Bilingual)

Classification: Non-Exempt (Hourly)

Reports to: Clinic Manager

Supervises: None

Salary: $23-25/hour (depending on experience) + 6% bilingual differential

The Front Desk Coordinator acts as the first point of contact, managing front desk operations to ensure efficient, welcoming, and quality patient care. Key responsibilities include greeting patients, scheduling appointments, verifying insurance, updating Electronic Health Records (EHR), handling phone calls, collecting payments, and maintaining a calm, organized reception area. The position requires strong communication skills, professionalism under pressure, and the ability to prioritize patient needs while supporting clinical flow, safety, and compliance. This role’s main focus is coordinating the front desk tasks, which requires a strong attention to detail and excellent database management skills.

This role directly supports the efficient client flow throughout the organization and works closely with the patient navigator team to integrate service delivery between the Social Services, Mental Health, and Medical teams.

Essential Job Functions and Responsibilities:

  • Greet patients in a professional, respectful, and trauma-informed manner.
  • Complete patient check-in and check-out accurately in the EHR.
  • Verify and update patient demographics, contact information, and insurance at each visit.
  • Collect co-pays or fees when applicable and provide receipts.
  • Manage patient flow and notify staff of arrivals, delays, or no-shows and ensure efficient patient processing.
  • Maintain a clean and organized work area.

Inquiry Management

  • Answer high-volume inbound phone calls, route calls, messages, and tasks to the correct department or staff member.
  • Document all calls and messages accurately in the EHR and other systems.
  • De-escalate patient situations as necessary while maintaining professional boundaries.

Scheduling & Administrative Support

  • Schedule, reschedule, and cancel appointments according to clinic guidelines.
  • Coordinate appointments across medical, behavioral health, and specialty services as directed.
  • Assist with scanning, faxing, and document management.

Operations Support

  • Communicate clearly with department staff regarding patient needs, delays, or concerns.
  • Support infection control and clinic safety protocols (e.g., masking, isolation alerts, PPE notices).
  • Monitor nurse call emergency system and appropriate notifications.
  • Monitor the front door access system.
  • Stay informed of department operational changes, as needed.
  • Maintain HIPAA compliance and patient confidentiality.
  • Support special events, outreach days, and extended hours.

Required Qualifications:

  • Per OSHA requirements employment at Ritter Center requires compliance with being able to produce a negative TB test prior to the start of employment, as well as being vaccinated against COVID-19 (unless applying for an exemption) per the August 5th, 2021, State Public Order for Healthcare Facilities, providers and employees.
  • Ability to communicate orally in Spanish
  • High school diploma or equivalent
  • Experience with basic office software and databases like an EHR system.
  • Strong verbal and written communication skills

Preferred Qualifications:

  • Minimum 1 year experience in a medical, behavioral health, or community health setting
  • Experience in an FQHC, nonprofit, or integrated care clinic
  • Knowledge of basic medical terminology
  • Knowledge of:
  • Excellent customer service and interpersonal skills
  • Strong organization and attention to detail
  • Ability to prioritize and follow established protocols
  • Emotional regulation and professionalism under pressure
  • Team-oriented with a willingness to support clinic operations
  • Trauma-informed communication with patients experiencing stress, crisis, or vulnerability
