What You’ll Do

• Check in/out all guests and create a pleasant visitors experience
• Screening and directing calls from the main line to the appropriate department/individual
• Monitoring and ordering office supplies, coordinating with the facilities department
• Efficiently managing executive calendars, and providing administrative support
• Manage internal recognition program
• Organize catering for company events/external meetings and manage meeting room bookings
• Perform clerical duties, such as data entry, filing, sorting mail, and updating records in a detailed fashion
• Process executive expense reports and reconciles credit card statements
• Facilitating company inbound/outbound shipments to avoid backlogs
• Answer inquiries and provides information of a general nature in a time-sensitive matter
• Assist cross-department projects
• Plan, prioritize and organize workload, consistently working within service standards and agreed objectives.
• Other tasks as assigned.
• Responding to phone calls and emails within set time scales.
• Proactive in identifying and implementing travel process improvements.

Qualifications

• A self-starter with a high degree of initiative and a can-do attitude
• Must have 1-year experience in the same position or similar
• Able to work efficiently as a part of a team as well as independently
• Strong verbal & written communication skills
• Good telephone manners
• Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times
• Proficient in MS Word, Excel, PowerPoint, and e-mail
• Attention to detail in all areas of work with strong problem identification and problem resolution skills.
