The Alumni Engagement & Advancement Operations Manager provides strategic leadership for Alumni Engagement while delivering centralized operational support for the Office of Institutional Advancement. This dual-function role strengthens lifelong alumni relationships in support of the University’s Catholic and Franciscan mission and ensures effective coordination and execution of alumni and advancement initiatives. The position balances outward-facing alumni engagement and volunteer leadership with internal advancement operations, contributing to cohesive programming, strong institutional identity, and efficient advancement operations. This position reports to the Director of Development and works closely with Marketing, Communications, and Alumni Association Leadership. #CB

Job Standards and Performance Expectations

  1. Mission Advancement

    1. Actively engages with and promote the Catholic and Franciscan mission of the University by integrating Franciscan values, justice for the communities served, and Catholic and Franciscan intellectual traditions into alumni engagement, communications, and advancement initiatives
  2. Develop, implement, and manage a comprehensive alumni engagement strategy aligned with institutional priorities and Advancement goals

    1. Plan and oversee alumni programs and events, including on-campus, regional, and virtual offerings, to foster lifelong alumni relationships

    2. Strengthen alumni participation through meaningful engagement opportunities that support the University’s mission and identity

    3. Strengthen the alumni-to-student engagement initiatives that support mentoring, career networking, and experiential learning opportunities

    4. Partner with campus stakeholders to connect alumni expertise with student development and career exploration

    5. Support programs that reinforce alumni involvement in student success and institutional advancement

  3. Research and implement alumni engagement best practices to enhance participation, connection, and long-term affinity

    1. Regularly assess alumni engagement data and trends to refine strategies and improve effectiveness
  4. Serve as the primary liaison to the Alumni Association and its leadership to strengthen governance, volunteer engagement, and membership growth

    1. Collaborate with Alumni Association leaders to develop strategies that engage alumni, students, and new graduates
    2. Coordinate initiatives that promote alumni involvement, leadership development, and community building
  5. Develop and execute targeted alumni communication strategies in collaboration with Marketing and Communications

    1. Publish newsletters, e-mail campaigns, website updates, CampusESP (parent and family engagement platform) and social media content to keep alumni informed and engaged
    2. Use segmented and personalized communications to maximize outreach and participation
  6. Provide centralized administrative and operational support for the Office of Institutional Advancement

    1. Support frontline fundraising efforts through coordination, data requests, and workflow management
    2. Ensure efficiency, accuracy, and alignment across advancement initiatives
  7. Advancement Communications and Mailings Management

    1. Manage planning, timelines, and vendor coordination for Advancement communications and mailings
    2. Support annual appeals, stewardship communications, and donor outreach
    3. Maintain organized systems to ensure smooth operational execution
  8. Plan and execute alumni, donor, and stewardship events in collaboration with the Institutional Advancement Team

    1. Coordinate logistics and on-site execution for key events, including Hall of Distinction and Fête des Fidèles
    2. Ensure seamless planning, execution, and follow-up
  9. Stewardship and Donor Relations Support

    1. Coordinate correspondence, recognition initiatives, and outreach (i.e., cards, invitations)
    2. Serve as a welcoming and professional presence, fostering strong relationships with alumni, donors, and campus leaders
  10. Maintain professionalism, confidentiality, and donor-centered service in all interactions while supporting stewardship efforts

EXPERIENCE

  • A minimum of two (2) years of experience in Alumni Relations, Higher Education, Non-Profit Administration, or related fields;

  • Willingness to learn customer-relationship management (CRM) database systems;

  • Experience working with volunteers;

  • Event Planning and logistics experience;

  • Familiarity with Higher Education Advancement Operations

EDUCATION

  • Bachelor’s Degree or equivalent experience, required

SPECIAL SKILLS

  • Proficiency with Microsoft Office Suite;

  • Strong organizational, project management, and prioritization skills, with attention to details and follow-through;

  • Excellent written and verbal communication skills;

  • Demonstrated commitment to professionalism, confidentiality, and mission-driven service;

  • Warm and welcoming with a strong appreciation for the University’s Catholic and Franciscan identity;

  • A collaborative team player who proactively contributes to shared goals, particularly during high-volume periods and major events;

  • Proactive problem solver with a positive attitude;

  • Comfortable interacting with alumni, donors, Senior Leadership, and campus partners
