Job Description

MAGIC AI is building the AI-powered fitness company of the future. We are looking for an exceptional, high-agency generalist to work directly with our Founder & CEO, Varun Bhanot.

This is not a diary-management or “assistant” role. You will be an extension of the CEO and a force multiplier for the company: taking ambiguous problems, creating clarity, building the right systems, and driving work through to completion.

You’ll work across strategy, operations, product insight, hiring, culture and special projects. One week you may be preparing an investor or board narrative, building a decision-making dashboard, or running a hiring process. Next, you may be co-ordinating one of our retail stores, leading an internal event, or coordinating a cross-functional launch.

You will get a front row seat in how to build a company from the very top, but if you are thinking of leaving in 6 months, please do not apply. This role is ideal for someone who wants to become a Chief of Staff, senior startup operator, or founder - but who is equally happy solving the unglamorous operational problems that make a fast-growing company work.

Requirements

What you’ll own

CEO Office and strategic execution

• Run the CEO’s priority tracker: turn decisions from leadership meetings into named owners, next actions and deadlines; chase progress and escalate blockers.
• Own the follow-through on the projects that cut across teams—for example fundraising announcements, retail launches, leadership offsites, major hires, new operating systems and company events.
• Build simple decision briefs when Varun needs to choose: the context, options, numbers, recommendation and the decision required.
• Prepare Varun for high-stakes meetings with investors, board members, partners, candidates and press: agenda, attendee context, key messages, materials, follow-ups and a clear record of commitments.
• Coordinate investor and board requests: keep the data room, key metrics, financial-model inputs, updates and supporting materials accurate and moving.
• Identify where work is stuck—for example between product, growth, finance and operations—and convene the right people to resolve it rather than letting it drift.
• Own selected external relationships end-to-end: scheduling, briefing, communications, actions and follow-up.
• Act as a trusted extension of the CEO: handle sensitive company, people and commercial matters with sound judgment, pace and discretion.
• Step up to take tasks off the CEO’s plate!

Data, systems and AI

• Build lightweight systems, dashboards and automations that improve how MAGIC makes decisions.
• Use AI tools to accelerate research, analysis, writing, project management and internal workflows.
• Help create a reliable operating cadence around key company metrics, priorities and actions.
• Turn messy information into clear recommendations - not just slides or spreadsheets.

Culture, brand and company experience

• Help build a high-performance, high-care culture as the company scales.
• Be the CHIEF Celebrator at the company - finding moments to celebrate for individuals as well as the company.
• Own selected company rituals, recognition, internal communications, office experience and team events - aligned to our legendary PUNCH culture.
• Protect the quality and consistency of MAGIC’s brand across internal and external touchpoints.
• Take pride in the details—from a leadership offsite, whole company away days, weekly celebratory moments to the quality of a candidate's/new joiner’s experience.

Operational range

• Support hiring, onboarding, finance/admin coordination, PR, partnerships and external events where needed.
• Be comfortable handling both high-leverage strategic work and essential operational detail.
• Build processes that reduce dependency on the Founder over time.

• Strong analytical judgment: You are comfortable with metrics, financial logic and business trade-offs.
• AI-native builder: You use modern AI tools to create leverage—not simply to generate output.
• Excellent communicator: You can write clearly, communicate confidently with senior stakeholders, and tailor your style to the audience.
• Customer instinct: You care about what customers actually experience and can turn qualitative feedback into action.
• Low ego, high standards: You will happily organise an office detail when needed, but you think at company level.
• Long-term ambition: You want to grow into a senior operator, Chief of Staff or founder-level role.

Experience

• 3+ years in a high-performance environment: startup, consulting, investing, founder’s office, operations, product/growth, or similar.
• Evidence of having owned complex projects with limited direction.
• Experience building systems, analysing data, or using AI/automation tools is a strong advantage.
• Startup experience is preferred; we care more about slope, judgment and ownership than pedigree.
