The Opportunity
We are looking for a Founder's Assistant to take ownership of the workstreams that most depend on the founder's time and judgement: his inbox, his diary, candidate outreach, and acquisition sourcing. This isn't a traditional admin role. You won't be waiting for instructions or working through a task list handed to you each morning. You'll run each of these areas with genuine independence, make sensible calls within clear boundaries, and bring the founder in only when a real decision is needed. You'll be his right hand — owning the process end to end, from first contact to final recommendation, with the trust and the room to do it your way.
What We Need From Our Founder's Executive Assistant
The Areas You'll Own
• Inbox & diary — triaging and replying to routine email, flagging what matters, and running the founder's calendar end to end: booking, protecting focus time, and staying ahead of any conflicts.
• Recruitment & headhunting — sourcing and approaching candidates on LinkedIn for open roles, managing replies and follow-ups, building a live candidate pipeline, coordinating interviews, and shortlisting with a clear recommendation attached.
• Deal flow & acquisition sourcing — exploring business broker sites and marketplaces, screening opportunities against agreed criteria, drafting and sending warm approach letters to owners and brokers, and maintaining a live pipeline of acquisition targets.
• Trackers & visibility — keeping both the candidate and acquisition pipelines accurate and current. These are the founder's main window into the work he isn't doing day to day, so they matter.
The Day-to-Day Standard
• Same-day triage of the founder's inbox, with routine items handled directly.
• Diary kept clean and conflict-free at least a week ahead.
• A consistent weekly volume of new LinkedIn candidate outreach, with replies followed up promptly.
• Regular sourcing and screening of acquisition targets against agreed criteria.
• Both trackers kept accurate and current, reviewed weekly.
Your Mission
Give the founder his time back. Each week you'll keep his inbox and diary running so smoothly he rarely needs to check them, build a live pipeline of great candidates for open roles, and surface acquisition opportunities worth his attention — so he can spend his time on the decisions that genuinely need him, not the work that leads up to them. Within six months, success looks like:
• The founder's inbox and diary run smoothly, with minimal oversight from him.
• Open roles have a steady flow of well-qualified, well-screened candidates.
• A growing, accurate pipeline of acquisition targets, regularly reviewed.
• The founder is pulled in only at genuine decision points — not the work that leads up to them.
• Noticeably less of the founder's time spent chasing, checking, and coordinating.
Who is the Right Fit for This Role?
We care far more about judgement and ownership than any specific background. You might have come up as an EA, a recruiter, a researcher, or something else entirely — what matters is that you take initiative and can be trusted with sensitive information.
• An Owner, Not a Task-Taker — You take ownership of outcomes, not just tasks. You notice what needs doing and do it, and you bring a recommendation rather than a question.
• A Confident, Clear Writer — Excellent written English and strong copywriting instincts; you can strike the right tone with candidates, brokers, and business owners alike.
• Discreet by Instinct — You'll have access to a founder's inbox, live deal conversations, and confidential acquisition targets, and you treat sensitive information carefully without being reminded to.
• Organised & Detail-Driven — Strong organisation, attention to detail, and tracker discipline. You keep things moving and nothing slips through.
• Experienced in Executive Support — Comfortable managing inboxes, diaries, or executive support tasks, and confident using email, calendars, spreadsheets, and LinkedIn.
• Relentless on Follow-Up — Strong follow-up discipline; you don't let things go cold.
• Always Looking to Take On More — You don't settle into a fixed list of duties; you look for ways to take work off the founder's plate.
• Bonus Points — LinkedIn sourcing, recruitment, or Sales Navigator experience; supporting a founder, CEO, or senior leader; researching businesses or acquisitions; or familiarity with e-commerce, consumer, health, wellness, or food brands.
