Title: Administrative Assistant Exempt IV � Accounting Specialist

Reports To: Treasurer

Employment Status: Full Time

Terms of Employment: 256 Days

FLSA Status: Non-Exempt

Salary Range: $65,226 - $91,057

Qualifications: 1. Associate or Bachelor's Degree in Accounting (preferred)

  1. Minimum of three years' service in an Ohio public school district Treasurer's Office or equivalent (preferred).
  2. Ability to perform several tasks concurrently with ease and professionalism, while meeting critical deadlines.
  3. Ability to skillfully utilize Microsoft Office Suite and Google Suite programs and other web-based applications.
  4. Ability to communicate clearly and concisely, verbally and in writing.
  5. Ability to keep employee information strictly confidential.
  6. Ability to provide excellent customer service through highly proficient interpersonal skills including the ability to work collaboratively as part of a team.

Definition: Under the direction of the Treasurer, the Accounting Specialist performs a range of accounting, payroll, and compliance functions in support of the District's financial operations. This position requires strong attention to detail, sound judgment in handling confidential information, and the ability to manage multiple concurrent priorities within strict deadlines.

Essential Functions

  1. GENERAL ACCOUNTING - Local, State, Federal Grants
  • Posts receipts and appropriations across multiple funding sources.
  • Expenditure and revenue budget preparation and maintenance.
  • Works collaboratively with other district departments to manage Grant projects and expenses.
  • Maintains information for 1099 processing.
  • Assists with preparing data for GAAP (Generally Accepted Accounting Principles) conversion.
  • Processes warrants for refunds and generates refund warrants for the return of funds to payers.
  • Manages multiple projects simultaneously; plans and implements strategies to ensure tasks are completed within required time-frames; maintains a high degree of accountability for results.
  • Assembles and helps interpret/organize data for analysis, forecasting, and reporting.
  • Maintains accounting files.
  • Prepares reports as required.
  • Processes project cash requests for Federal Programs in the Ohio Department of Education Comprehensive Continuous Improvement Plan (CCIP) (soon using the ED STEPS platform).
  • Submits final expenditure reports annually to awarding agency.
  • Follows established office procedures to ensure accurate, timely recording and preservation of documents; maintains a systematic filing system supporting efficient records retrieval.
  1. PAYROLL
  • Processes quarterly coach supplemental records in accordance with board approved supplemental salary schedule.
  • Cross-trains to run payroll on a rotating basis to serve as Payroll Coordinator Back-Up.
  • Submits payroll related payments to local, state and federal agencies and miscellaneous entities.
  • Assists in processing or verifying payroll calculations.
  • Maintains accurate and updated employee payroll records.
  1. COLLABORATION
  • Assists audit team, as needed.
  • Assists administration in gathering data and preparing reports for employee negotiations.
  • Assists other members in the Treasurer's Office as needed.
  • Works with the Human Resources and accounting department to ensure complete and accurate flow of information for employee benefits.
  1. COMPLIANCE & REPORTING
  • Ensure district compliance with the Affordable Care Act (ACA), COBRA, FMLA, and other relevant state and federal employment laws;
  • Prepare and submit all required compliance reports to state and federal agencies;
  • Interpret and apply provisions related to benefits and leaves as outlined in the District's collective bargaining agreements
  1. OTHER
  • Maintains a professional appearance, demonstrates punctuality and dependable attendance, completes assigned responsibilities, and maintains confidentiality.
  • Builds respectful, collaborative relationships with colleagues and others while contributing to a positive and effective work environment.
  • Represents the district professionally, fosters goodwill and public support, and serves as a positive role model.
  • Performs other duties as assigned.

ADDITIONAL WORKING CONDITIONS:

  1. Duties are primarily performed in a standard office environment with frequent computer use and prolonged sitting;
  2. Occasional travel between district buildings may be required; and
  3. Ability to occasionally lift and carry up to 50 pounds.
