About the location:

Sensei Lāna’i, A Four Seasons Resort offers a luxurious adults-only wellness enclave on the secluded Hawaiian island of Lāna‘i. WHAT YOU’LLDO

The Food & Beverage Administrative Assistant provides comprehensive clerical and administrative support to the Food & Beverage and Culinary Departments across all outlets. This role supports efficient daily operations,assistsleadership with administrative tasks, and ensures full compliance with Four Seasons policies, standards, and brand expectations.Responsibilities include, but are not limited to:

  • Prepare, process, and manage a high volume of correspondence, reports, letters, memoranda, and incoming mail

  • Review, route, track, and coordinate responses; record, distribute, andmaintaindepartmental and divisional meeting minutes using multiple systems.

  • Maintain and organize departmental files, policies, standards manuals, schedules, and calendars for Food & Beverage and Kitchen Division leadership

  • Ensuretimelyupdates andaccuratedistribution of documents in compliance with departmental and brand standards

  • Support special projects and operational initiatives, including mailings, competitive surveys, menu support, breakage tracking, and ad hoc requests

  • Coordinate, schedule, and confirm interviews, meetings, appointments, and cooking class reservations

  • Oversee inventory, supplies, andpurchasingfunctions, includingmaintaininginventory levels,receivingand storing deliveries, and tracking outstanding items

  • Create, process, and follow up on Purchase Orders (POs) throughBirchStreet

  • Manage payroll and employee administration, including daily ADP audits and biweekly payroll processing

  • Conduct daily operational and food safety oversight, including Critical Control Point (CCP) checks such as temperature logs, walkin and lowboy inspections, and verification of cleaning and sanitization practices

WHAT TOBRING

  • Successful candidate mustpossesslegal work authorization in United States

  • The hospitality business functions seven (7) days a week, twenty-four (24) hours adayand scheduled days and times may vary based on need. Holidays and weekendsavailabilityisrequired

  • Required by the Hawaii State Department of Health to obtain a Tuberculous (TB) clearance card

  • HawaiiFood Handler’s Cardisrequiredfor this role

  • Ability tosit andstand for extended periods,lift upto30lbs, and push/pull as needed during shifts

  • Working knowledge of computer systems, with experience in word processing and spreadsheet programs
