Job Description
Multi-Site Assistant Community Manager
Kalos Residential | Multi-Site | Avalon Springs & Frontgate
Reports To: Property Manager
Who We Are
Kalos Residential is the in-house property management company for Four Mile Capital, a vertically integrated multifamily owner-operator with nearly 2,700 units across seven states. We exist for one reason: to manage Four Mile Capital’s portfolio exceptionally well. We don’t take on outside properties. Every community we manage is a Four Mile Capital asset, and we treat it that way.
That standard depends on exceptional people who take ownership, operate with urgency, and understand that strong property performance starts with consistent execution.
The Role
The Multi-Site Assistant Community Manager supports the daily operations of Avalon Springs and Frontgate, working closely with the Property Manager and Regional Manager to maintain strong occupancy, improve financial performance, deliver an exceptional resident experience, and ensure operational consistency across both communities.
This role requires someone who can manage competing priorities, work independently, and transition seamlessly between properties. You will oversee leasing activity, renewals, resident relations, collections, administrative processes, and compliance while helping hold onsite teams accountable to established expectations.
You will be expected to understand the performance of both communities, identify opportunities for improvement, and take action without waiting for direction. When the Property Manager is unavailable, you must be prepared to provide leadership and maintain continuity of operations.
This is an opportunity for a highly organized, self-motivated professional who takes pride in doing things right, following through on commitments, and contributing directly to the success of two communities.
What You Own
- Multi-Site Operations and Accountability
- Support the daily operations of Avalon Springs and Frontgate, ensuring both communities operate consistently and efficiently.
- Maintain a regular presence at both properties based on operational needs, staffing priorities, and business performance.
- Prioritize daily responsibilities across both locations and ensure critical tasks are completed accurately and on time.
- Monitor property performance, identify operational gaps, and communicate concerns and recommended solutions to leadership.
- Step into leadership responsibilities when the Property Manager is unavailable to ensure continuity of operations.
- Maintain organized leasing offices, accurate records, and consistent execution of company policies and procedures.
- Leasing, Occupancy, and Revenue Performance
- Actively support leasing efforts at both communities, including tours, lead follow-up, application processing, lease execution, and closing.
- Monitor leasing pipelines, traffic, applications, cancellations, upcoming move-ins, and available inventory.
- Work with onsite teams to maintain strong occupancy and achieve established leasing and revenue goals.
- Follow up consistently with prospects and hold the team accountable for timely, effective lead management.
- Review pricing, concessions, and market conditions with property leadership to identify opportunities to improve competitiveness.
- Ensure leases, applications, and supporting documentation are accurately completed and entered into Entrata daily.
- Identify occupancy challenges early and help implement strategies to improve leasing conversion and reduce vacancy loss.
- Renewals and Resident Retention
- Monitor upcoming lease expirations and ensure renewal offers are delivered, tracked, and followed up on within established timelines.
- Proactively contact residents who provide notice to identify opportunities to retain them.
- Build strong resident relationships through consistent communication, timely follow-up, and professional service.
- Support retention initiatives that encourage renewals and improve resident satisfaction.
- Track renewal performance and identify trends or concerns that may affect occupancy and revenue.
- Ensure resident concerns are addressed promptly and escalated appropriately when necessary.
- Collections and Financial Operations
- Oversee daily collection efforts and delinquency follow-up across both properties.
- Monitor delinquency reports, identify outstanding balances, and ensure consistent follow-through with residents.
- Support payment arrangements and other collection activities in accordance with company policies, lease requirements, and applicable laws.
- Assist with month-end processes, invoice coding, and other administrative financial responsibilities.
- Review financial and operational reports to identify discrepancies, trends, and opportunities for improvement.
- Work with property leadership to support budget goals, control expenses, and protect net operating income (NOI).
- Ensure invoices, financial documentation, and required reporting are accurate, complete, and submitted by established deadlines.
- Team Leadership and Cross-Property Support
- Provide day-to-day guidance and support to onsite leasing and administrative team members at both properties.
- Help establish clear expectations for leasing follow-up, renewals, collections, customer service, and administrative responsibilities.
- Partner with Property Managers, Leasing Consultants, and Maintenance Supervisors to resolve operational challenges and maintain service standards.
- Identify training opportunities and help team members strengthen their performance and professional development.
- Communicate staffing needs, performance concerns, and operational challenges to property leadership.
- Foster a professional, accountable, and collaborative culture across both communities.
- Lead by example through reliability, professionalism, organization, and consistent follow-through.
- Resident Experience and Service Standards
- Maintain a high standard of customer service across Avalon Springs and Frontgate.
- Ensure resident inquiries, complaints, and service concerns receive timely attention and appropriate resolution.
- Follow up on outstanding resident issues to confirm they have been addressed.
- Support positive resident relationships and initiatives that strengthen retention and community satisfaction.
- Work collaboratively with maintenance teams to communicate service concerns and support timely resolution.
- Ensure resident interactions reflect Kalos Residential’s expectations for professionalism and accountability.
- Compliance, Documentation, and Risk Management
- Maintain compliance with Fair Housing requirements, company policies, lease agreements, and applicable federal, state, and local laws.
- Ensure accurate move-in and move-out documentation, lease files, resident records, and required notices.
- Monitor renters insurance compliance and other required resident documentation.
- Support eviction and delinquency processes in accordance with established procedures and applicable laws.
- Ensure property records are maintained accurately in Entrata and other required systems.
- Assist with audits, file reviews, inspections, and other compliance initiatives.
- Protect company assets by identifying documentation gaps, escalating risks, and following established controls.
What We're Looking For
Experience and Qualifications
- Prior onsite multifamily property management experience, with demonstrated progression in responsibility.
- Experience with leasing, renewals, collections, resident relations, and property administration.
- Ability to manage multiple priorities and support operations across more than one property.
- Proficiency with Entrata or a comparable property management platform.
- Working knowledge of Microsoft Office Suite, including Excel, Word, and Outlook.
- Strong organizational skills and demonstrated attention to detail.
- Ability to interpret property reports, identify performance gaps, and follow through on corrective actions.
- Effective communication, problem-solving, and leadership skills.
- Fair Housing certification required before interacting with prospects or residents.
- Certified Apartment Manager (CAM) or Accredited Residential Manager (ARM) designation preferred but not required.
- High school diploma or equivalent required; college degree preferred.
Practical Requirements
- Ability to travel regularly between Avalon Springs and Frontgate as operational needs require.
- Reliable transportation and the ability to meet the travel requirements of a multi-site position.
- Availability to work evenings and weekends as needed.
- Ability to work independently while maintaining communication with property and regional leadership.
- Ability to assist other communities or departments when needed.
- Must successfully complete applicable pre-employment screening in accordance with company policy.
Who Thrives Here
The right person for this role understands that managing two communities requires more than being present at both locations. It requires organization, sound judgment, consistency, and the ability to determine what needs attention most.
You take ownership of your responsibilities, follow through without constant reminders, and understand how daily execution affects occupancy, collections, resident retention, and financial performance. You can move between properties without losing track of details, and you know how to support a team while holding people accountable to expectations.
You are comfortable working in a structured environment, communicating challenges early, and bringing solutions instead of simply identifying problems. You build relationships with residents and teammates while maintaining professional boundaries and company standards.
Most importantly, you understand that success in a multi-site role means both communities receive the attention, support, and leadership they need to perform well.
If you are organized, proactive, adaptable, and motivated by the opportunity to make a measurable impact across two communities, this role may be a great fit.
What We Offer
- Competitive base pay commensurate with experience.
- Performance-based bonus tied to property results.
- Health, dental, and vision insurance.
- 401(k) with company match.
- Paid time off.
- Opportunities for career advancement and internal promotion.
- The opportunity to build leadership experience across multiple communities.
