What Impact Will You Have?
As a Flight Coordination Officer, you will serve as the client’s expert for all aspects of their aircraft
operation. Working as the central point between the owners, our internal teams, the flight crew and our
world class global and tactical operations center, a Flight Coordination Officer works to flawlessly execute
personalized and unique travel experiences. The role is highly dynamic, requiring seamless integration of
three core pillars of the business: Dispatch Operations, Client Services & Charter Sales. Our Flight
Coordination Officers serve as the vital link between aircraft owners, charter clients, flight crews, and
global ground partners, always ensuring the highest standards of safety. The heart of this role is well
established and has a clear path for development. Sirio is evolving and scaling at an exciting pace and we
are specifically seeking individuals who are ready to evolve with us.
of Responsibilities
• Full-scope planning of all client schedules, consistently anticipating needs and expectations to
effectively prepare an itinerary, confirm arrival and departure reservations, verify travel
documentation & catering requests, arrange ground transportation and ensure delivery of any
special requests.
• Conduct structured flight feasibility assessments evaluating aircraft availability (including MEL
restrictions, airspace requirements, and APU status), crew availability/qualifications, and Flight-Risk
Assessment (FRAT). Build complete flight planning packages and operational documentation for
flight crews ensuring compliant routes are filed.
• Analyze the operational environment of the flight through NOTAMs, aeronautical publications,
aircraft status, and weather reports. Includes performing detailed Aerodrome Suitability
Assessments to ensure destination, alternate, and emergency airports are fully suitable.
• Obtain, verify, and manage overflight and landing permits prior to departure, coordinate airport
slots, and ensure all operational clearances are secured before flight release. Organize ground
services, including fuel arrangements, handling, crew accommodation, and ground transportation.
Coordinate with flight support providers, handlers, and operational partners to ensure all preflight requirements are in place.
• Monitor daily flight activity, including the initiation, continuation, diversion, or termination of a
flight, establishing communication with the aircraft. Work closely with pilots and crew members
to ensure that all flight operations are conducted safely and efficiently, actively promoting and
implementing the company SMS to ensure accident prevention is a priority.
• Monitor, manage, and verify crew rosters prior to flight release, ensuring strict compliance with
Flight Time Limitations (FTL) and international fatigue management regulations.
• Manage the renewal and maintenance of operational documents, certificates, and permits
required for the fleet to operate globally, including BOE, Decals, and Customs Waivers. Provide
critical operational reports and data required for compliance updates, such as Third Country
Operator (TCO) specifications for UK airspace operations.
• Collaborate closely with the Ground Operations team to monitor fleet fuel consumption and
ensure the strict, consistent application of the new European fuel policy.
• Expertly guide clients through dynamic conversations related to maintenance, liaising with internal
teams to strategically schedule planned maintenance around known travel plans and peak travel
periods. Effectively work through the impact of AOG events to the client’s schedule, including
sourcing supplemental lift options, if needed.
• Identify potential revenue opportunities for clients, evaluate incoming charter flight inquiries
against fleet availability, operational constraints, and specific client requirements. Calculate
accurate and competitive charter flight quotations.
• Liaise directly with brokers or end clients to arrange customized catering, ground handling, and
bespoke travel preferences.
• Collaborate with internal departments to verify payment terms and the issuance of proforma
invoices.
• Work effectively in a fast-paced, dynamic environment, while maintaining the highest level of
professionalism. Successfully prioritizing multiple objectives with constantly shifting priorities, with
the ability to independently recognize and address/escalate issues as they arise.
• Maintain strict confidentiality in all cases regarding client information and travel schedules.
• Ability to quickly learn and assimilate to Sirio business model.
• As our operation is 365/24/7, the role requires a willingness to be flexible to support our clients
when required
Essential Requirements
• Aircraft management and or account management experience is essential.
• Must possess the legal ability to work in Italy.
• Exceptional level of written and spoken English (C2)
Preferred Requirements
• Exceptional level of customer service experience, working with high-net-worth individuals, in a
private aviation and/or luxury service environment.
• Knowledge of Flight Operations Regulations in regard to Part 91 or 135 airline operations with
emphasis on high-level experience in international travel planning.
• Experience effectively multitasking multiple tech platforms, managing a high-volume email system
and the aptitude to learn customized company databases.
• Excellent interpersonal, oral/written/video communication and problem resolution skills.
