The assignment duration is through July 16, 2026.

The Project Purchasing Lead supports the end‑to‑end project purchasing lifecycle by executing and maintaining purchase orders, coordinating closely with suppliers, and ensuring accurate, timely tracking of materials, documentation, and delivery commitments. This role plays a critical expediting and follow‑up function—confirming purchase order acknowledgments, monitoring production and shipping status, managing delivery date changes, and resolving discrepancies to support on‑time project execution. The Project Purchasing Lead ensures data integrity within PeopleSoft, facilitates new supplier onboarding and specification creation, and manages required purchasing, compliance, warranty, and closeout documentation. Through proactive communication and detailed coordination, this role enables efficient project delivery and strong supplier performance across assigned projects.

Education and Experience

Required

  • 2+ years of experience in procurement, supply chain, purchasing operations, or a related field

Preferred

  • Bachelor’s degree in Business, hospitality, finance, supply chain or related field

CORE WORK ACTIVITIES

  • Prepares, issues, and maintains project purchase orders in accordance with established procurement policies and project timelines.
  • Updates and maintains purchasing systems (PeopleSoft) to ensure accurate order status, delivery information, acknowledgments, and required modifications.
  • Follows up with suppliers on unacknowledged purchase orders to confirm receipt and updates PO status accordingly.
  • Runs and reviews Purchasing & Expediting (P&E) and expediting reports for assigned projects to identify suppliers requiring follow up and escalation.
  • Coordinates with suppliers to confirm production status, lead times, delivery schedules, and material availability, including tracking partial shipments and outstanding items.
  • Verifies and documents shipping status for cutting for approval (CFA) samples, finish samples, and shop drawings; investigates and resolves inaccurate or conflicting system comments with suppliers.
  • Communicates expediting and delivery updates to project stakeholders and partners with the team to identify alternates when delivery timelines cannot be met.
  • Notifies suppliers of project delivery window changes, tracks acknowledgments, and updates revised delivery dates within each purchase order.
  • Develops custom specifications in PeopleSoft for designer‑provided items not yet in the system to enable accurate and timely purchase order issuance.
  • Verifies supplier records in PeopleSoft, including confirmation of required “70” locations for Global Design purchasing.
  • Coordinates new supplier onboarding by issuing required documentation, validating completeness, and submitting finalized packages to Global Design Systems Support for MBS processing.
  • Provides resale tax certificates to suppliers as requested to support tax‑exempt purchasing.
  • Maintains correspondence and tracking for shop drawings, samples, warranties, flame certificates, and other required project documentation.
  • At project closeout, compiles warranty, maintenance, and compliance documentation; creates a consolidated digital access link and distributes materials to designated property and project stakeholders.
  • Resolves delivery, damage, loss, receipt, and inventory discrepancies with suppliers, freight carriers, and receiving locations.
  • Supports project costing activities through accurate tracking, reporting, and maintenance of purchasing data and spreadsheets.
  • Assists buyers with additional purchasing and administrative activities as business needs and capacity allow.
  • Supports project closeout by ensuring purchasing records, documentation, and outstanding issues are fully resolved.
