Job Scope

To supervise and coordinate fleet operations, ensuring timely vehicle availability, efficient service, delivery, and compliance with operational procedures, while managing workforce scheduling, supporting team performance, customer service, and accurate operational reporting.

Job Responsibilities

  1. Fleet Operations & Vehicle Services
  • Supervise assigned fleet operations staff, ensuring timely and efficient vehicle availability, distribution, and the provision of replacement vehicles to customers whose vehicles are under maintenance or accident repair, within delegated authority.
  • Supervise daily fleet operations by following up with relevant teams on maintenance and repairs to ensure vehicles remain in good condition and are available for operational use.
  • Ensure compliance with SOPs and supportsmooth daily operations.
  1. Process Control & Documentation
  • Ensure fleet operational procedures/replacement are properly followed and documented by Fleet Controllers/fleet associates, maintaining accuracy and timeliness in vehicle allocation and service execution.
  • Verify and validate daily replacement reports, ensuring all transactions, customer details, and vehicle information are accurately recorded and completed.
  1. Fleet Monitoring & Inventory Management
  • Monitor vehicle inventory and availability through the team, ensuring accurate tracking of vehicle status, location, and condition to support operational requirements.
  • Ensure all vehicle registrations and licenses are valid and renewed on time through the team.
  1. Technical Approvals (Within Authority)
  • Review and approve battery and tire requests within delegated authority limits, ensuring compliance with safety standards, operational procedures, and technical requirements.
  1. Driver & Team Management
  • Coach and guide team members, support their skill development, set performance expectations, and conduct egular performance follow-ups with constructive feedback.
  • Oversee driver assignments, roster planning, and leave scheduling. Ensure adequate coverage during absences instruct and monitor roster adjustments, and communicate operational updates from the company or client tostaff.
  • Ensure Fleet Controllers monitor driver adherence to safety standards, trip compliance, and client serviceexpectations across the assigned driver pool, and escalate performance or compliance issues to the Assistant Manager as needed.
  1. Customer Service Management
  • Handle and resolve customer complaints and inquiries related to replacement vehicles and return processes, ensuring timely response and maintaining service quality standards.
  1. Violations Management
  • Supervise the handling of vehicle violations, ensuring timely identification, customer notification, resolution within required timelines, and proper reporting through the team.
  1. Reporting & Operational Monitoring
  • Consolidate routine operational reports related to fleet operations, replacement, fleet activity, and service
  • performance, ensuring accurate data collection and validation from Fleet Controllers/Fleet associates and team members.
  • Highlight operational issues, customer complaints, service delays, and exceptions to management to support timely decision-making and corrective actions, while maintaining accurate records for operational visibility.
  1. Health, Safety & Environment (HSE) - Ensure team compliance with HSE procedures and safety guidelines.
  • Monitor daily vehicle safety checks and minor incidents, reporting hazards to management. - Support safety awareness initiatives and provide guidance on safe work practices.

Required Qualifications

  • Degree in Business Administration, Logistics, Automotive,or related field (preferred).
  • Minimum 8+ years of experience out of which at least 3 years needs to be within the Supervisory level.
  • Fleet and Client Management experience is a must-have.
