General Description and Classification Standards:

This position coordinates and acts as a liaison between customers and service technicians when cars or other vehicles need servicing or repairs. Enters detailed repair malfunctions in the service center computer system and prepare detailed instructions for service technicians to include repair parts. Also acts as the service receptionist when dealing with customers at vehicle check-in and handover. Schedules servicing or repairs and discuss customers’ requirements. Provides customers with estimated costs and repair times, and notifies customers of additional or extended repairs. Checks vehicle warranties and/or extended warranties for cost recovery.

Supervision Received:

Works under minimal supervision and follows standard procedures and written instructions to accomplish assigned tasks. May assist in training, orienting, or observing lower-level associate, apprentice, or semi-skilled employee in the group.

Essential Duties and Responsibilities

These are typical responsibilities for this position and should not be construed as exclusive or all inclusive.

  • Ascertains automotive problems and services by listening to customer's description of symptoms, clarify descriptions of problems; conducts inspections, tests drive vehicles, checks vehicle maintenance records, and examines service schedules.
  • Verifies warranty and service contract coverage by examining records and documents; explains provisions and exclusions.
  • Develops estimates by costing materials, supplies, and labor.
  • Prepares repair work orders (WO) by describing symptoms, problems, and causes discovered, as well as repairs and services required; obtains approval signatures and opens (WOs) in the service center database.
  • Maintains customer rapport by explaining repairs and estimated vehicle return times.
  • Obtains and provides contact telephone numbers, answers questions and concerns, arranges towing and temporary transportation if needed.
  • Maintains automotive records by recording problems and corrective actions.
  • Updates job knowledge by participating in educational opportunities and by reading manufacturer's publications.
  • Enhances organization reputation by accepting ownership for accomplishing new and different requests and by exploring opportunities to add value to job accomplishments.
  • Completes daily reports and coordinates vehicle pickups.
  • Follows standardized procedures and written instructions to accomplish assigned tasks.
  • Provides guidance and training as required to lower level, interns, temporary employees, etc.
  • Provides detailed repair malfunctions in the service center computer system and prepares detailed instructions for service technicians to include repair parts.
  • Acts as the service receptionist when dealing with customers at vehicle check-in and handover.
  • Schedules servicing or repairs and discuss customer requirements.
  • Provides customers with estimated costs and repair times and notifies customers of additional or extended repairs.
  • Completes inspections on vehicles and some in shop equipment to ensure working order for repairs.
  • Communicates with vendors on the approval of vehicles being repaired through third party; approves/disapproves work that needs to be done on vehicles; makes sure that vehicles are being repaired in a timely manner and returned back for services.
  • May perform other duties as assigned.

Minimum Qualifications:

Education and Experience - High School diploma or equivalent and four (4) years of automotive or truck experience.

Licensures and Certifications - Valid State of Georgia driver’s license

Preferred Requirements - Bachelor's Degree in Civil Engineering and five (5) years of experience in traffic control, environmental reviews, surveying, engineering design, inspection, and drafting, to include management experience.
