The Fleet Parts Specialist is responsible for coordinating parts and supplies necessary for fleet maintenance, repairs, and vehicle builds. Key duties include researching and purchasing parts, receiving deliveries, maintaining inventory, issuing materials to technicians, and verifying purchasing and invoice records. This role serves a diverse fleet, encompassing passenger vehicles, trucks, heavy equipment, off-road vehicles, watercraft, and motorcycles. Collaboration with technicians, shop personnel, and vendors is essential to ensure timely access to the correct parts, minimize repair delays, and uphold accurate inventory and expense records.

Monday–Friday, 7:00 a.m. – 3:30 p.m.

Examples of duties

  • Coordinate daily parts operations, including purchasing, receiving, stocking, and issuing of materials;
  • Research and identify correct parts using various resources and assist technicians with parts needs;
  • Monitor outstanding orders and communicate expected delivery dates, resolve sourcing issues;
  • Conduct inventory counts and maintain accurate records of parts usage and transactions;
  • Ensure compliance with safety procedures while contributing to an organized and efficient parts storage area;
  • Proven experience in parts operations or a related field;
  • Strong analytical and problem-solving skills with attention to detail;
  • Proficient in inventory management software and Microsoft Office Suite;
  • Excellent communication skills, with the ability to collaborate effectively with technical teams;
  • Forklift certification or willingness to obtain it, along with a commitment to workplace safety;
  • Perform other duties as assigned.

Qualifications

  • Must be at least 18 years of age;
  • High school diploma or equivalent;
  • Four years of experience in automotive or equipment parts operations, including at least two years of purchasing-related experience;
  • Must possess or be able to obtain ASE Parts Specialist certifications: P1 – Medium/Heavy Truck Parts Specialist and P2 – Automobile Parts Specialist within one year of hire or within two ASE testing cycles;
  • Must complete employer-required forklift training and operator qualification within two years of hire and before independently operating applicable equipment;
  • Knowledge of automotive and equipment parts, purchasing practices, and inventory procedures;
  • Strong attention to detail when entering data, assigning parts costs, reviewing invoices, and maintaining records;
  • Strong organizational skills and the ability to manage competing requests and changing priorities;
  • Clear and professional communication skills;
  • Commitment to dependable service, responsible use of resources, safe work practices, and continuous improvement;
  • Ability to accurately identify and source parts for multiple vehicle and equipment types;
  • Ability to use inventory and purchasing information to recognize usage trends, shortages, and discrepancies;
  • Ability to work independently, resolve routine problems, and follow assignments through to completion.

PREFERRED QUALIFICATIONS

  • Additional coursework or training in purchasing, business administration, inventory management, or a related field;
  • Experience with FASTER fleet management software;
  • Experience with RepairLink or comparable electronic parts sourcing systems;
  • Experience working with electronic parts catalogs and computerized inventory systems;
  • Experience purchasing parts for fleet, municipal, commercial, heavy-duty, or equipment operations;
  • Proficiency with Microsoft Word, Outlook, Excel, and other standard office applications.

OTHER REQUIREMENTS

  • Must appear before an oral board and successfully complete a polygraph, credit check, and background investigation;
  • Must possess and maintain a valid driver’s license;
  • This position has been designated safety sensitive and therefore the incumbent is subject to random drug testing.

Supplemental information

  • Work is performed in an office, outdoors, and vehicle repair shop where it may be drafty, noisy and fumes from vehicles are usually present;
  • Lift and carry materials weighing up to 50 pounds and use appropriate lifting equipment or obtain assistance when necessary;
  • Stand and walk for extended periods;
  • Frequently bend, stoop, kneel, crouch, crawl, climb, and reach;
  • Push and pull parts, materials, carts, equipment, and other items;
  • Work safely in and around vehicle and equipment repair areas;
  • Work in confined or restricted storage spaces as necessary;
  • May be exposed to vehicle and equipment noise, dust, automotive fluids and chemicals, exhaust fumes, and other conditions commonly associated with vehicle maintenance and parts operations. Employees are expected to follow all applicable safety procedures and use required personal protective equipment and material-handling practices.
