Examples of duties
The Fleet Management Specialist is responsible for a variety of duties relating directly to technical, maintenance, acquisition, and disposal support as needed in the preparation of documents, reports, and regulatory requirements for the Fleet Maintenance Department.
ESSENTIAL FUNCTIONS
- Coordinates with internal customer to develop technical specifications related to safety, efficiency and functionality within Federal guidelines and Department of Transportation (DOT) regulations to ensure timely replacement and upfitting of equipment.
- Coordinates repairs, warranties, recalls, service bulletins, pickup and delivery of vehicles and equipment with internal customers and outside vendors.
- Utilizes computer skills to research and implement maintenance procedures provided by service publications and manufacture’s owner manuals.
- Reviews damage reports, estimates, preventive maintenance records and labor guides to coordinate repairs with technicians and outside vendors.
- Maintains records and emission testing equipment for State Inspections at all fleet maintenance locations.
- Serves as liaison with state, local, and federal authority regarding regulations, licensing matters, and ensures compliance of fleet operation.
- Oversees the installation of Telematics hardware and camera systems and monitors the system to ensure the hardware is operational.
- Reviews bid proposals and makes recommendations to Purchasing Division to approve vehicle and equipment purchases.
- Coordinates vendor provided training for new vehicles and equipment.
- Assists with all aspects related to the disposal, auction and acquisition of all fleet assets.
- Reviews, and interprets data ensuring optimization of electric vehicle replacement, acquisition, and fleet charging operation.
- Performs other duties as assigned.
DECISION MAKING
- Works under general supervision.
MINIMUM REQUIREMENTS
- High School Diploma or GED.
- Five years’ experience in fleet and heavy equipment repair, specifications and cost analysis including two years’ customer service experience in a related field.
- Valid Class “C” Texas Driver’s License.
- Ability to report to work on time, maintain a good attendance record, and work all designated work schedules.
PREFERRED REQUIREMENTS
- Automotive Service Excellence Certification.
- Associate’s Degree in related field from an institution accredited by a recognized accrediting agency.

- Ability to manage capital outlay expenditures for vehicle and equipment acquisitions.
- Ability to apply advanced technical writing skills when creating specifications.
PHYSICAL DEMANDS AND WORKING CONDITIONS
Physical requirements including lifting up to 50 pounds. Working conditions are in an office/shop environment, other hazards include driving, traffic, sudden temperature changes, extreme temperatures and rain, insects, fumes, dust and poor ventilation. Required to operate a company vehicle on a frequent basis. Requires visual acuity, speech and hearing.
May be required to work hours other than regular schedule including rotating shifts, overtime, and on-call hours.
