Essential duties and responsibilities include, but are not limited to:
- Operates the Non‑Tactical Vehicle (NTV) dispatch office in accordance with AR 58‑1, DA PAM 750‑8, and all governing regulations during established support hours.
- Controls the efficient flow of vehicle dispatching, maintenance coordination, and fleet documentation to meet customer and mission requirements.
- Ensures customer service, accuracy, and timeliness objectives are met while supporting fleet readiness and operational requirements.
- Performs dispatch operations including filling vehicle requests, verifying operator licenses, and logging equipment in and out using required forms such as DA Form 2401 and DD Form 1970.
- Maintains complete and accurate vehicle files, including registration documents, accident reports, operator records, and maintenance history.
- Tracks vehicles nearing lease expiration, identifies delinquent services, and reports discrepancies to the NTV COR.
- Coordinates scheduled and unscheduled maintenance, ensuring timely notification to the NTV COR and proper documentation of all service requirements.
- Conducts pre‑ and post‑operation vehicle inspections to identify deficiencies, ensure safety, and maintain accountability.
- Submits weekly reports of all traffic tickets issued to NTV operators and maintains supporting documentation.
- Maintains records and administrative files in accordance with AR 25‑400‑2 and applicable Army policies.
- Integrates lessons learned from fleet operations, customer feedback, and regulatory updates to improve fleet management processes.
- Performs additional duties as required to support program requirements.
Qualifications
- Minimum of one (1) year of demonstrated experience within the last five (5) years managing a vehicle fleet.
- Experience must include dispatching, maintenance coordination, and records management.
- Working knowledge of AR 58‑1 (Management of Transportation Motor Vehicles) and DA PAM 750‑8 (The Army Maintenance Management System).
- Must successfully complete a National Agency Check (NAC).
- Proficiency in administrative tasks, including Microsoft Excel and records management.
- Ability to work independently in a fast‑paced environment, manage multiple tasks, and meet strict deadlines.
- Strong verbal and written communication skills with the ability to interact professionally with customers.
- Ability to maintain accurate records, follow detailed procedures, and comply with all fleet management requirements.
Supervisory Responsibilities
- None required for this position.
Security Responsibilities
- Must comply with all company and DoD information security and fleet protection policies.
- Responsible for safeguarding vehicle records, operator documentation, and sensitive information.
- Must sign a company non‑disclosure agreement prior to accessing controlled information.
Certificates, Licenses, and Registrations
- Valid state driver’s license and passport required.
- Additional fleet management or maintenance training may be required based on mission needs.
Reasoning Ability and Mathematical Skills
- Must be able to analyze problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret regulatory guidance and apply it to daily fleet operations.
- Must be able to calculate mileage, service intervals, and other fleet‑related figures.
Work Environment and Physical Demands
- Work may involve fast‑paced operations, customer interaction, and strict timelines.
- Must be able to lift and/or move up to 50 pounds as required for inspections or equipment handling.
- Work environment may include extended periods of standing, walking the motor pool, and conducting vehicle inspections.
