Job Description

Position Overview:

As a Fleet Service Writer, you will be responsible for supporting the fleet maintenance and operations team, ensuring that distribution vehicles remain in top working condition by assisting with vehicle movement, part deliveries, fueling, and general fleet upkeep. This position involves transporting vehicles, collecting and delivering fleet-related parts and supplies, and supporting mechanics in maintaining a smooth workflow.

RESPONSIBILITIES:
• Creating, processing, and tracking fleet maintenance work orders, ensuring accurate documentation.
• Scheduling preventive maintenance (PMs), repairs, inspections, and emergency service calls for all fleet vehicles.
• Communicating with drivers and fleet managers regarding maintenance needs, service status, and estimated completion times.
• Assigning work to technicians and ensure proper prioritization of repairs.
• Ensuring all repair and service work follows DOT, OSHA, and company safety regulations
• Maintaining detailed service records for each vehicle, tracking maintenance history and upcoming service needs.
• Ensuring compliance with federal, state, and local regulations, including DOT inspections, emissions testing, and license renewals.
• Generating and analyze fleet maintenance reports, including cost analysis, downtime tracking, and mileage logs.
• Assisting with warranty claims and ensure proper documentation for reimbursement.
• Tracking and manage fleet parts inventory, ensuring that necessary components are available for scheduled repairs.
• Coordinating with vendors and suppliers to order and receive parts, tools, and fluids as needed.
• Working closely with technicians and procurement teams to optimize inventory control and reduce downtime
• Acting as a point of contact for drivers, documenting reported issues and ensuring timely resolutions.
• Providing drivers with basic troubleshooting guidance for on-the-road issues.
• Working closely with fleet technicians and maintenance personnel to ensure smooth communication and workflow
• Ensuring fleet maintenance records align with DOT, FMCSA, and OSHA regulations.
• Assisting in preparing for audits, inspections, and safety reviews.
• Keeping accurate records of fleet registrations, insurance, and compliance certificates
• Flexibility to work various or additional shifts, as needed including evenings, weekends, and holidays
• Perform other duties as assigned by leadership
Environment:
• Work environment will vary with temperature
• Primarily in a shop environment with occasional outdoor work
Schedule:
• Sunday - Thursday
• 7:00am start
Compensation:
• $24.00 - $26.00
Experience:
• Preferred: Two (2) years of experience in fleet maintenance, service writing, automotive repair or logistics support
• Preferred: Experience in distribution, transportation or logistics environment
• Preferred: Proficiency in English (written and verbal) to effectively communicate with associates and leadership

• Physical abilities: Ability to stand or walk at least 10 hours daily; working in various temperature controlled environments;
