So, what are we looking for?

The Fleet Coordinator is responsible for overseeing and coordinating day-to-day fleet operations remotely, ensuring the efficient utilization, maintenance, and movement of company vehicles across multiple locations. This role serves as the primary point of contact for fleet logistics, vehicle scheduling, service coordination, and telematics monitoring through Geotab. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to collaborate effectively with internal teams, drivers, and external vendors in a remote work environment.

What are your responsibilities?

  • Coordinate daily fleet operations and vehicle deployment to meet business requirements.
  • Monitor fleet activity, vehicle utilization, and driver performance through Geotab and other fleet management systems.
  • Schedule and track preventive maintenance, servicing, repairs, inspections, and vehicle registrations to ensure compliance and minimize downtime.
  • Collaborate with regional office teams, drivers, and service providers to support fleet logistics and operational needs.
  • Coordinate vehicle movements, transfers, and assignments across locations.
  • Maintain accurate fleet records, including registration, insurance, maintenance history, and compliance documentation.
  • Respond to and resolve fleet-related issues, breakdowns, and service disruptions in a timely manner.
  • Track maintenance schedules and follow up with vendors to ensure services are completed on time.
  • Generate regular reports on fleet performance, utilization, maintenance status, and operational trends.
  • Support cost-control initiatives by monitoring fuel usage, maintenance expenses, and vehicle utilization.
  • Ensure adherence to company policies, safety standards, and transportation regulations.
  • Provide timely communication and updates to internal stakeholders regarding fleet operations.

Does experience count?

  • Bachelor's degree in Logistics, Supply Chain, Business Administration, Operations Management, or a related field preferred.
  • Minimum 2-5 years of experience in fleet management, transportation, logistics coordination, or a similar role.
  • Experience working with Geotab or other telematics/fleet management platforms.
  • Strong understanding of fleet operations, vehicle maintenance processes, and logistics coordination.
  • Proficiency in Microsoft Office Suite, particularly Excel and reporting tools.
  • Excellent verbal and written communication skills.
  • Ability to effectively manage multiple priorities in a fast-paced remote work environment.
  • Strong problem-solving, analytical, and organizational skills.
  • High attention to detail and ability to maintain accurate records
