About the role

We’re looking for a Fleet Coordinator to provide end-to-end administrative and operational support for the company fleet, ensuring vehicle records, compliance documentation, fuel card management, reporting, invoice processing, and supplier communications are maintained accurately and efficiently. The role supports smooth day-to-day fleet operations, timely compliance follow-up, reliable reporting, and a professional service to drivers and internal stakeholders. We’re looking for someone who is proactive, accurate, service-focused and confident in managing multiple priorities while supporting compliance and operational efficiency.

Responsibilities:

• Manage all fleet administration including maintaining accurate records, supporting vehicle allocations, replacements, transfers, deliveries, collections and disposals and managing the onboarding and offboarding processes for company vehicle users.

• Compliance and vehicle checks including monitoring MOT, road tax, insurance, servicing, vehicle checks and inspection schedules.

• Process fuel card requests, replacements, cancellations and account amendments.

• Reconcile fuel card, toll and tracker data against fleet records to identify discrepancies.

• Maintain accurate records for Webfleet, MVDB, MIB Portal and other fleet-related systems,

• Maintain data quality across spreadsheets, fleet databases and supplier records.

• Validate supplier charges and process fleet-related invoices in line with internal procedures.

• Act as a first point of contact for driver and internal fleet queries.

• Coordinate repairs, servicing, vehicle movements and other operational requests as required.

• Identify opportunities to reduce manual administration and improve data accuracy.

The Ideal Candidate:

• Previous experience in Fleet, Transport, Logistics, Vehicle Administration, Accounts support or a similar administrative role is desirable.

• Experience maintaining operational data, processing requests, reconciling records and producing reports is essential.
• Strong accuracy and attention to detail.
• Excellent written and verbal communication skills.
• Understanding of MOT, road tax, servicing, insurance, fleet checks and audit-ready record keeping.

• Familiarity with systems such as Webfleet, MVDB, MIB Portal, Smartsheet, Microsoft 365 or similar platforms. Intermediate to advanced Microsoft Excel skills are strongly desirable.

• Practical knowledge of fleet compliance, vehicle records, supplier invoices, fuel cards or tracking systems would be beneficial.
• Ability to investigate discrepancies, resolve queries and escalate risks appropriately.
