Summary
The Fleet and Equipment Administrator, Sr. Manager is responsible for the strategic oversight, lifecycle management, and operational performance of all fleet and equipment assets across Moon Valley Nurseries. This role owns fleet analytics, budgeting, procurement, vendor management, and field service operations to ensure equipment reliability, cost control, and operational efficiency.
This position requires strong analytical capability, deep knowledge of fleet and heavy equipment, and the ability to advise on asset performance, utilization, and end-of-life replacement. The role leads mobile mechanics and the Asset Manager while driving consistency in maintenance standards and fleet operations company-wide.
*This is an in-office position with up to 30% travel.
Key Duties and Responsibilities
Fleet & Equipment Management
- Own full lifecycle management of fleet and equipment assets, including acquisition, utilization, maintenance, and end-of-life planning
- Advise leadership on equipment needs, replacement timing, and performance optimization
- Ensure all fleet and equipment assets are properly maintained, serviced, and consistently meet operational readiness standards across all nursery locations
- Oversee equipment assets, including chainsaws, skid steers, forklifts, utility vehicles (e.g., gators), and other earth-moving equipment
Analytics & Reporting
- Lead all fleet analytics, including utilization, downtime, repair costs, and asset performance
- Build and maintain reporting dashboards and KPIs to support operational decision-making
- Develop forecasting models for fleet needs, maintenance spend, and capital planning up to 12 months out
- Leverage systems such as Samsara, T3, JD Link, and KPA to track and optimize fleet performance
Budgeting & Financial Management
- Create and manage fleet and equipment budgets; ensure adherence across all regions
- Track spend, identify variances, and implement cost control measures
- Partner with leadership on capital expenditure planning and long-term asset strategy
- Identify and execute cost-saving initiatives without compromising operational performance
Procurement & Vendor Management
- Partner with our procurement team  for  fleet and equipment assets, including sourcing, purchasing, and deployment (vehicle wraps, safety installs etc)
- Build and maintain vendor relationships; negotiate pricing, service agreements, and terms
- Manage third-party service providers and ensure service level expectations are met
- Support fleet compliance requirements including registration, insurance, and documentation
Leadership & Team Oversight
- Lead and manage mobile mechanics to ensure timely repairs, preventative maintenance, and field support
- Oversee and develop the Asset Manager, ensuring accurate tracking and accountability of all equipment
- Establish standard operating procedures and ensure consistent execution across all locations
- Provide training and guidance to field teams on proper equipment use and care

Qualifications Knowledge, Skills & Abilities
- Minimum of 5 years of experience in fleet management, equipment operations, or a related field
- Strong analytical skills with experience in reporting, forecasting, and performance optimization
- Hands-on knowledge of fleet and heavy equipment, including maintenance and lifecycle management
- Experience with fleet management systems such as Samsara, T3, JD Link, and KPA
- Proven ability to manage budgets, control costs, and forecast future needs
- Strong vendor management and negotiation skills
- Experience leading teams, including field-based employees and managers
Preferred Background
- Experience with or from companies such as Steele, Husqvarna, John Deere, Peterbilt, or similar equipment-focused organizations
- Background in agriculture, landscaping, construction, or outdoor service operations
- 30% travel
Education
Bachelor’s degree (BS/BA) in Supply Chain, Logistics, Business, or related field preferred
Equivalent combination of education and relevant experience will be considered
Physical requirements/Working Conditions
While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 45 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
