Job Location: TX-ESP-MIDLD - Midland, TX 79706Roles & Responsibilities
The Fleet Administrator provides administrative support to the Transportation Department to ensure files are accurate and fleet is compliant with company and safety standards.
Duties include, but are not limited to:
- Maintaining accurate fleet records for vehicles, trailers, units, and required regulatory filings and reporting.
- Assist with the acquisition, operations, and maintenance of Flowco’s fleet of motor vehicles.
- Tracking registrations, insurance, inspections, and DOT compliance
- Monitoring fuel usage and preparing fuel/mileage reports
- Maintain driver files
- Assist with onboarding of new hires
- Support fleet tracking systems
- Data entry
- Organizing, filing, and scanning documents
- Tracking, verifying, and updating reports for internal use.
- Assist with training to drivers as needed
- Provides standard monthly reports to Fleet Manager
- Update and maintain accurate motor vehicle accident files
- Any other duties assigned by Transportation department as needed
Education,
Qualifications, & Experience
- High school diploma or equivalent required.
- 1-3 years administrative experience.
- Advanced computer knowledge including Microsoft Office, Microsoft Word, Excel, Powerpoint, automated document management applications and the aptitude to continually learn new software or applications is required.
- Oil & gas or mixed fleet operational experience strongly preferred.
- Experience with fleet management software preferred.
Knowledge, Skills & Abilities
- Knowledge of DOT/FMCSA regulations, licensing, registration and reporting requirements.
- Must be able to work well under pressure.
- Time management.
- Must possess an acute sensitivity to safety issues in a hazardous environment.
- Excellent written, verbal, and interpersonal communication skills.
- Detail oriented.
- Strong and effective organization skills and proven capability to manage multiple projects in a fast-paced setting.
- Team player
- Ability to manage projects independently with minimal supervision
Working Conditions
Environment
- Office-based with periodic field exposure to field locations, yards, and fleet assets.
- Occasional travel to fleet locations or vendor facilities may be required.
- May require after-hours support for urgent operational issues.
Hours/Shifts
- Standard business hours with flexibility as needed to support operations, audits, or compliance events.
- May require after-hours support for urgent operational issues.
Physical Demands
- Primarily sedentary office work.
- Occasional walking, standing, bending, and light lifting (up to 25 lbs) when conducting audits or inspections.
