Fixture Procurement Coordinator

Location: Calgary, AB

Work Model: Hybrid, four days per week in the office starting in November

Hours: Monday to Friday, 8:00 a.m. to 4:30 p.m.

Weekly Hours: 37.5 hours

Pay: $20 - $22/hr

Position Overview

We are seeking an organized and detail-oriented Procurement Coordinator to support purchase order processing, vendor coordination, project administration, and fixture-related procurement activities.

In this role, you will process store project orders, create and track purchase orders, resolve vendor file discrepancies, and provide timely support to field merchandising teams and other stakeholders. The successful candidate will be comfortable working with data, managing competing priorities, and communicating with vendors, dealers, and internal partners in a fast-paced retail environment.

Key Responsibilities

• Process project and store orders through timely system uploads and the creation of custom purchase orders.
• Track orders from placement through delivery, ensuring information is accurate and current.
• Review purchase order discrepancies raised by vendors, validate errors, and obtain manager approval when required.
• Process vendor files promptly to maintain accurate on-site and delivery date reporting.
• Troubleshoot vendor file errors to support accurate delivery information and timely vendor payments.
• Serve as the primary point of contact for the field merchandising team.
• Respond to field inquiries within 24 hours and escalate issues when appropriate.
• Manage incoming calls and emails through the Fixture Procurement Hotline.
• Return hotline calls and emails within 48 business hours.
• Support ongoing projects through email management, data entry, purchase order creation, and administrative coordination.
• Communicate with vendors, dealers, internal teams, and other stakeholders to resolve issues and keep projects moving forward.
• Maintain complete and accurate procurement records in relevant systems.

Required Qualifications

• Post-secondary education in business administration, supply chain management, logistics, procurement, or a related field.
• Strong proficiency with Microsoft Excel and other Microsoft Office applications.
• General computer proficiency and the ability to learn new systems quickly.
• Experience with data entry, order processing, purchase orders, invoicing, or administrative support.
• Strong written and verbal communication skills.
• Excellent organizational skills and attention to detail.
• Ability to establish priorities and manage multiple tasks effectively.
• Ability to work collaboratively with vendors, dealers, project teams, and internal stakeholders.
• Comfortable working in a changing environment and navigating competing priorities or ambiguity.

Preferred Qualifications

• Experience with PeopleSoft, Oracle, Coupa, Lucernex, or a similar procurement or enterprise resource planning system.
• Experience entering purchase orders or supporting invoice processing in PeopleSoft.
• Previous experience in procurement, supply chain, logistics, manufacturing, or retail operations.
• Experience supporting fixture-related projects in a manufacturing or retail environment.
• Knowledge of manufacturing processes and material finishes.
• Previous administrative or retail store experience.
• Project coordination or project management skills.
• Co-op, internship, and new graduate experience will be considered.

Work Environment

This position follows a 37.5-hour workweek, with regular hours from 8:00 a.m. to 4:30 p.m. Overtime is not expected.

Role begins in November, the role is expected to follow a hybrid schedule requiring four days per week in the Calgary office, most likely Monday through Thursday. Friday will be work from home
