Filinvest Hotel: CRIMSON HOTEL FILINVEST CITY MANILA

The Fixed Asset Officer is responsible for managing and maintaining the hotels fixed asset records, ensuring accuracy, compliance, and proper accounting in line with company policies and standards. This role involves overseeing the acquisition, tracking, depreciation, disposal, and reconciliation of fixed assets while ensuring compliance with regulatory requirements and internal controls. The Fixed Asset Officer works closely with the Finance and Engineering teams to safeguard the hotel's assets and provide accurate reports for management.

Strong analytical skills, attention to detail, and knowledge of fixed asset accounting practices are essential for success in this position. The officer also plays a key role in supporting audits and implementing process improvements related to asset management.

Fixed Asset Management

  • Maintain and update the Fixed Asset Register to ensure accuracy and completeness.
  • Record acquisitions, disposals, transfers, and adjustments of fixed assets in compliance with financial policies.
  • Ensure proper tagging of fixed assets to facilitate identification and tracking.

Asset Tracking and Verification

  • Conduct regular physical inventories of fixed assets to verify their existence, condition, and location.
  • Investigate and resolve discrepancies between physical counts and the Fixed Asset Register.

Depreciation and Reporting

  • Calculate and record monthly depreciation expenses in accordance with accounting standards.
  • Prepare and submit fixed asset reports for financial statements, audits, and management review.

Compliance and Audit Support

  • Ensure adherence to internal controls and company policies related to fixed asset management.
  • Provide necessary documentation and support during internal and external audits.

Coordination with Other Departments

  • Collaborate with Engineering, Finance, and Operations teams for asset-related matters, including repairs, maintenance, and project capitalization.
  • Work with Procurement and Finance teams to ensure timely recording of newly acquired assets.

Disposal and Decommissioning

  • Oversee the proper disposal or decommissioning of assets, ensuring compliance with company policies and legal requirements.
  • Document and record asset disposals, including gains or losses.

System and Process Improvements

  • Assist in implementing new software or tools for improved asset tracking and management.
  • Identify opportunities to streamline asset management processes and recommend solutions.

Documentation and Filing

  • Maintain organized and secure records of fixed asset transactions, including purchase orders, invoices, and asset verification reports.
  • Ensure proper documentation for asset transfers, disposals, and adjustments.

Policy Enforcement and Training

  • Enforce compliance with company policies related to asset management.
  • Provide guidance and training to department heads on fixed asset procedures.

Ad-Hoc Tasks

  • Support management with other asset-related projects or tasks as needed.
  • Assist in special initiatives such as capital projects or hotel renovations related to fixed assets.

QUALIFICATIONS:

  • Bachelors degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of 2-3 years of experience in fixed asset management, accounting, or finance.
  • Prior experience in a hospitality or hotel environment is highly preferred.
  • Proficient in accounting software and asset management systems.
  • Strong background in audits and compliance.
  • Experience in procurement or inventory management is a plus.
  • Willing to work in Muntinlupa City.
